Virtus Medical Group is seeking a dynamic and experienced Operations Manager to oversee the day-to-day operations of our Day Procedure Centre and Multi-Specialty Clinics. The ideal candidate will ensure seamless operational efficiency, high standards of patient care, and strong cross-functional collaboration. This role demands a proactive leader capable of managing multi-disciplinary clinic environments, driving strategic service expansions, fostering strong doctor relationships, and championing continuous quality improvement.
Key Responsibilities
1. Day-to-Day Operations Management
Oversee the daily administrative and clinical support operations of the Day Procedure Centre and multi-specialty clinics to ensure smooth, safe, and efficient workflows.
Monitor facility readiness, patient flow, and scheduling efficiency to minimize waiting times and optimize resource utilization.
Ensure strict adherence to regulatory standards, health and safety guidelines, and infection control protocols.
2. Manpower & Talent Management
Lead end-to-end talent acquisition, onboarding, scheduling, and performance management for frontline, nursing support, and administrative personnel.
Monitor staffing levels and roster allocations to match patient volume and operational demands across various specialties.
Promote staff engagement, training, and professional development to maintain high morale and service standards.
3. Resource & Asset Allocation
Manage facility resources, inventory control, and medical equipment procurement, maintenance, and calibration schedules.
Oversee budget planning, cost control measures, and resource allocation to support financial targets and operational sustainability.
4. New Service Implementation & Organizational Change
Spearhead the operational rollout of new medical services, specialties, or advanced equipment technologies.
Act as a change agent during organizational restructuring or workflow upgrades, ensuring minimal disruption to clinical services and clear communication across all levels.
5. Stakeholder Coordination & Doctor Relations
Build and maintain strong, collaborative working relationships with resident and visiting specialist doctors, ensuring their operational requirements are met.
Serve as the primary liaison between clinical teams, administrative departments, and external stakeholders to streamline care pathways.
6. Service & Quality Improvement
Drive continuous quality improvement (CQI) initiatives, audit operational procedures regularly, and implement corrective actions.
Monitor patient feedback and incident reports to elevate the overall patient experience and clinical service standards.
Job Requirements
Education: Bachelor’s Degree in Healthcare Management, Business Administration, Operations Management, or a related discipline.
Experience: Minimum 3 years of solid experience in healthcare operations management, preferably within a ambulatory surgery centre, day procedure unit, or multi-specialty medical clinic setting.
Skills & Competencies:
Strong leadership, problem-solving, and crisis-management abilities.
Exceptional interpersonal, communication, and stakeholder management skills (proficient in building rapport with medical professionals).
Sound understanding of clinical governance, healthcare regulations, and safety standards.
