Executive Support: Manage the Executive Director’s daily calendar, coordinate meetings, schedule appointments, and prepare meeting materials.
Client & Stakeholder Relations: Serve as a bridge between the Executive Director and key clients, vendors, and business partners (particularly from China and Malaysia).
Communication & Translation: Draft emails, letters and provide accurate real-time or document translation (English/Mandarin) when necessary.
Travel & Logistics: Organize domestic and international travel arrangements, itineraries, accommodation, and visas.
Business Coordination: Attend high-level meetings, take detailed minutes, track action items, and ensure timely follow-ups.
Confidentiality: Handle sensitive business and personal information with high discretion and professional ethics.
Administrative Tasks: Manage personal administrative matters for the Executive Director as required.
Requirements & Qualifications
Language Proficiency: Fluent in Mandarin and English (spoken and written) is required due to frequent interaction with clients from China and local Malaysian business partners.
Experience: Minimum 1 year of working experience as a Personal Assistant, Executive Assistant, or in a corporate secretarial/support role.
Communication Skills: Excellent interpersonal, negotiation, and cross-cultural communication skills.
Technical Skills: Proficient in MS Office (Word, Excel, PowerPoint) and modern communication tools (WeChat, WhatsApp, Teams).
Work Ethic: Strong time-management skills, high attention to detail, and ability to multitask under pressure.
Flexibility: Willingness to travel occasionally or work flexible hours if urgent business matters arise. (Travel expenses covered by the company)
