The Facilities Officer will support the day-to-day facilities and workplace operations to ensure a professional, efficient, and welcoming office environment. This role oversees workplace services, reception area standards, office maintenance coordination, event support and administrative functions to enhance employee and visitor experience.
What this job involves:
Coordinate daily facilities operations and maintenance activities.
Conduct routine inspections of workplace facilities.
Ensure the office environment remains clean, organized, and operational.
Track and respond to facilities-related requests in a timely manner.
Oversee the appearance and functionality of reception and common areas to maintain a professional workplace environment.
Maintain reception area standards, ensuring cleanliness, organization, and adequate supplies.
Ensure smooth visitor management and front-of-house operations.
Support VIP visits, meeting arrangements, and hospitality services.
Coordinate office events, employee engagement activities, and corporate functions.
Liaise with event organizers, internal stakeholders, and service providers to ensure successful event execution.
Arrange event logistics, including venue setup, catering, meeting room configurations and access arrangements.
Provide on-site support during events and coordinate post-event activities as needed.
Maintain workspace occupancy and seating records.
Support workplace improvement initiatives and employee experience programs.
Desired experience and technical skills required
2-5 years of experience in facilities management, workplace services, office administration, hospitality, or a related field.
Experience in reception management, workplace services, or event coordination is an advantage.
Strong knowledge of workplace and office operations.
Excellent organizational and multitasking skills.
Strong communication and interpersonal skills.
Customer-focused with a proactive service mindset.
Ability to manage multiple priorities and stakeholders.
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
