Koncept Image Pte Ltd is a leading exhibition design and build company specialising in creating innovative exhibition booths, event environments, and brand experiences across Singapore and the region. We are seeking a highly organized and detail-oriented Admin & Accounts Executive to support our finance, administration, procurement, and inventory operations.

Key Responsibilities

Administration

• Provide daily administrative support to ensure smooth office operations.

• Prepare invoices, delivery orders, purchase orders, and project documentation.

• Maintain accurate filing systems for client, supplier, and project records.

• Coordinate meetings, courier services, and office logistics.

• Handle incoming calls, emails, and general enquiries professionally.

Accounts

• Manage Accounts Receivable (AR) and Accounts Payable (AP).

• Process supplier invoices, customer payments, and staff expense claims.

• Perform bank reconciliations and petty cash management.

• Assist in preparing monthly financial reports and supporting documents.

• Liaise with external accountants during month-end and year-end closing.

Inventory & Stock Management

• Maintain accurate inventory records for exhibition furniture, display systems, electrical equipment, lighting, graphics, hardware, and event accessories.

• Track all incoming and outgoing stock for exhibition projects and furniture rentals.

• Coordinate stock issuance and returns with the warehouse and project teams.

• Conduct regular stock takes and investigate inventory discrepancies.

• Monitor stock levels and recommend replenishment when required.

• Ensure all exhibition assets are properly labelled, recorded, and stored.

• Prepare inventory and asset reports for management review.

Procurement & Project Support

• Source quotations from suppliers and subcontractors.

• Issue purchase orders and monitor supplier deliveries.

• Coordinate material deliveries to the warehouse and exhibition venues.

• Support project managers with administrative documentation throughout project execution.

Requirements

• ITE certificate or Diploma in Business Administration, Accounting, Finance, or a related field.

• At least 1 years of relevant experience in administration, accounting, inventory management, or procurement.

• Experience in the exhibition, events, construction, or interior fit-out industry will be an advantage.

• Proficient in Microsoft Office, especially Excel.

• Experience with accounting software such as Xero, MYOB, QuickBooks, or similar systems is preferred.

• Strong organisational skills with excellent attention to detail.

• Able to prioritise multiple tasks and meet deadlines.

• Positive attitude, responsible, and a team player with good communication skills.
