Job Responsibilities

Payroll Administration

  • Manage the full monthly payroll cycle, including attendance, leave, overtime, allowances, deductions, and statutory contributions (EPF, SOCSO, EIS, PCB, HRD Corp).
  • Ensure payroll is processed accurately and submitted within the required timeline.
  • Prepare monthly payroll reports and budgeting for Finance.
  • Liaise with statutory bodies such as EPF, PERKESO, LHDN, HRD Corp, Immigration, and other relevant authorities.

Recruitment & Onboarding

  • Coordinate end-to-end recruitment activities, including job advertisements, candidate screening, interview arrangements, and selection.
  • Prepare employment offers, contracts, and onboarding documentation.
  • Ensure a smooth onboarding process for new employees.
  • Maintain relationships with recruitment agencies and job portals.

Employee Relations

  • Handle employee enquiries, grievances, disciplinary matters, and workplace issues professionally.
  • Support investigations and conflict resolution.
  • Promote positive employee engagement and maintain harmonious working relationships.

Performance Management

  • Coordinate employee performance appraisal exercises.
  • Assist in implementing performance improvement plans (PIP).
  • Support managers in employee performance monitoring and development.

Training & Development

  • Identify organizational training needs.
  • Coordinate internal and external training programmes.
  • Manage HRD Corp claims, grants, and training documentation.
  • Maintain employee training records.

HR Policies & Compliance

  • Implement and maintain HR policies, procedures, and SOPs.
  • Ensure compliance with the Employment Act, labour regulations, and company policies.
  • Prepare HR-related documents including confirmation, promotion, transfer, warning letters, termination, and other employee correspondence.

HR Administration

  • Maintain accurate and confidential employee records.
  • Update employee database, organization chart, and staff directory.
  • Monitor staff leave, attendance, and personnel documentation.
  • Prepare monthly HR reports and management documentation.

Administration, Inventory & Asset Management

  • Oversee office administration and general affairs.
  • Coordinate procurement of office supplies, uniforms, pantry items, gifts, and company assets.
  • Maintain inventory records and monitor stock levels.
  • Coordinate with suppliers, vendors, and contractors for purchases, maintenance, and repairs.
  • Monitor company vehicles, office equipment, building maintenance, and licensing matters.

Other Duties

  • Perform any other HR, administration, or management duties assigned by the Management from time to time.

Job Requirements

  • Diploma or bachelor’s degree in human resource management, Business Administration, Management, or other related disciplines.
  • Minimum 3 years of relevant working experience in Human Resource and Administration.
  • Good knowledge of Malaysian Employment Act, labour regulations, payroll administration, and statutory requirements.
  • Experience in handling payroll, recruitment, employee relations, HR administration, and HRD Corp matters.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Experience with Payroll and HR systems (SQL Payroll or equivalent) is an added advantage.
  • Good communication and interpersonal skills.
  • Strong organisational and time management skills with the ability to multitask.
  • Detail-oriented, responsible, able to work independently, and maintain confidentiality.
  • Positive attitude with strong problem-solving and decision-making skills.
