Job Summary
The Reservation Operator is responsible for managing all incoming and outgoing telephone communications while providing professional reservation services and exceptional guest assistance. The role ensures all calls are handled efficiently, reservation enquiries are processed accurately, and guest requests are directed promptly to the appropriate departments in accordance with hotel standards and brand expectations.
The Reservation Operator plays a key role in delivering a positive first impression of the hotel, ensuring seamless communication, and supporting guest satisfaction before and during their stay.
Key Responsibilities
- Answer all incoming calls promptly, courteously, and professionally in accordance with hotel standards.
- Handle room reservation enquiries via telephone and accurately process bookings in the hotel reservation system.
- Assist guests with reservation amendments, cancellations, and special requests.
- Provide accurate information regarding room types, rates, promotions, hotel facilities, dining outlets, and hotel services.
- Transfer calls to the appropriate departments and ensure messages are delivered accurately and promptly.
- Maintain knowledge of hotel services, operating hours, events, and promotions to assist guests effectively.
- Ensure all reservation details, billing instructions, and guest preferences are accurately recorded in the system.
- Coordinate with Front Office, Housekeeping, Sales, and other departments regarding guest requests and reservation arrangements.
- Monitor room availability and assist in maximising occupancy through effective reservation handling and upselling.
- Promote and upsell room categories, packages, and hotel services whenever appropriate.
- Handle wake-up call requests and ensure they are executed accurately and on time.
- Maintain confidentiality of guest information and comply with hotel policies and brand standards.
- Respond professionally to guest enquiries, feedback, and reservation-related concerns.
- Maintain accurate reservation and telephone records for operational and audit purposes.
Requirements & Qualifications
- Diploma or Certificate in Hospitality Management or a related field is preferred.
- Minimum 1–2 years of experience as a Telephone Operator, Reservation Agent, Front Office Agent, or in customer service within the hospitality industry is an advantage.
- Excellent verbal communication and telephone etiquette.
- Familiarity with Opera PMS or other hotel reservation systems is preferred.
- Strong customer service and interpersonal skills.
- Ability to multitask and work efficiently in a fast-paced environment.
- Proficient in Microsoft Office applications.
- Fluent in English; additional languages are an added advantage.
- Willingness to work on rotating shifts, including weekends and public holidays.
Pay: RM1,700.00 - RM2,600.00 per month
