Manage the Director's calendar, appointments, meetings, and travel arrangements (including site visits to mines/quarries)
Prepare, proofread, and organize correspondence, reports, presentations, and board/meeting minutes
Handle confidential and sensitive information (contracts, licenses, regulatory correspondence) with discretion
Liaise with government agencies (e.g., JMG - Jabatan Mineral dan Geosains, state authorities) and external stakeholders on the Director's behalf
Screen calls, emails, and visitors; prioritize matters requiring the Director's attention
Coordinate with internal departments (operations, finance, HR) to follow up on action items from meetings
Organize company events, client meetings, and site visits
Manage expense claims, filing systems, and office administration for the Director's office
Handle ad-hoc personal errands/tasks as required
Requirements
Diploma/Degree in Business Administration, Secretarial Studies, or related field
Minimum 3–5 years' experience as a PA/Executive Secretary, ideally supporting C-suite/Director-level, preferably in mining, construction, or a regulated industry
Excellent command of English and Bahasa Malaysia (written and spoken); Mandarin an advantage for dealing with vendors/clients
Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
High level of discretion, integrity, and professionalism (handles confidential business/regulatory info)
Strong organizational skills, able to multitask and work under pressure with tight deadlines
Presentable, mature, and able to work independently with minimal supervision
