Position Overview
We are seeking a proactive and hands-on HR & Admin Executive to manage our core human resources operations and office administration. In this role, you will play a critical part in managing our workforce, driving our recruitment efforts, and ensuring a smooth, welcoming experience for new hires.
A significant portion of this role involves managing our foreign workforce lifecycle, so strong organizational skills and familiarity with local regulatory procedures are highly valued.
Key Responsibilities1. Foreign Worker Management
- Handle the end-to-end management of foreign workers, including applications, quota approvals, renewals, and permit cancellations.
- Coordinate all mandatory medical screenings (FOMEMA arrangements) and follow-ups.
- Manage hostel and accommodation arrangements, ensuring compliance with local housing regulations (e.g., Act 446) and worker welfare standards.
- Act as the primary point of contact for foreign worker welfare, grievances, and liaison with relevant government authorities/agents.
2. Talent Acquisition & Recruitment
- Manage the end-to-end recruitment process, including job postings, screening resumes, scheduling interviews, and conducting initial assessments.
- Collaborate with department heads to understand hiring needs and identify potential talent.
- Build and maintain a pipeline of candidates for frequent or high-volume roles.
3. Onboarding & Orientation
- Facilitate a seamless onboarding and orientation experience for all new hires (local and foreign).
- Prepare offer letters, employment contracts, and welcome kits.
- Conduct company briefings, introduce company policies, and ensure all necessary paperwork and system profiles are completed on Day 1.
4. Administrative & General HR Support
- Maintain up-to-date and accurate employee records (physical and digital files).
- Assist in general office administration, including managing office supplies, handling correspondence, and supporting company events.
- Assist in other HR ad-hoc projects or administrative tasks as assigned by management.
Job Requirements
- Education: Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, or a related field.
- Experience: Minimum 2–3 years of working experience in HR and Administration, with direct experience handling foreign worker management and local recruitment.
- Knowledge: Well-versed in the Malaysian Employment Act 1955, FOMEMA procedures, and Jabatan Tenaga Kerja (JTK) guidelines regarding foreign worker housing/welfare.
- Skills: Strong communication skills, good interpersonal abilities, and proficiency in Microsoft Office/Google Sheets.
- Attributes: High level of integrity, strong problem-solving skills, and the ability to multitask effectively in a fast-paced environment.
Pay: RM2,800.00 - RM3,500.00 per month
