The E-Commerce Operations Executive is responsible for ensuring the smooth, accurate and efficient execution of e-commerce operations across all online and non-store sales channels. This role oversees order processing, inventory integrity, product catalogue administration, and fulfilment coordination to ensure customer satisfaction. Your mission is to ensure operational readiness and support the continued growth of the online business through reliable execution and continuous process improvement.
Key responsibilities
Order management
- Monitor and process incoming orders from all online and non-store sales channels to ensure all customer orders are accurately processed within established service level agreements.
- Investigate and resolve order exceptions including payment issues, stock shortages, duplicate orders, and fulfilment delays.
- Monitor order backlog and ensure timely completion.
- Coordinate order prioritisation during campaign periods and peak trading seasons.
Inventory management
- Maintain stock accuracy across all online channels and work with merchandising and operations teams to investigate any discrepancies.
- Monitor stock health and identify products at risk of stock-outs or overselling.
- Support stock allocation and replenishment planning for online demand.
- Ensure timely updates to inventory records following stock adjustments and transfers.
Product catalogue administration
- Create and maintain product listings across across all online and non-store sales channels.
- Ensure product information, descriptions, pricing and images are complete, accurate and consistent.
- Support new product launches and promotional listings.
- Conduct regular product catalogue audits to maintain data quality.
Fulfilment coordination
- Coordinate with fulfilment teams to ensure timely picking, packing and shipment of online orders.
- Monitor fulfilment performance, SOP compliance, and escalate operational issues where necessary.
- Work closely with courier partners to resolve shipping delays, failed deliveries, and parcel exceptions.
- Support improvements in fulfilment efficiency and customer delivery experience.
Returns & after-sales operations
- Process customer returns, exchanges and refunds in accordance with company policies.
- Coordinate investigation and resolution of delivery disputes, damaged goods, and missing parcels.
- Maintain accurate records of return reasons and identify recurring issues.
- Liaise with operations and finance teams to ensure timely resolution.
Reporting & continuous improvement
- Prepare regular reports on fulfilment performance, inventory accuracy, order cancellations, and operational service levels
- Monitor seller health metrics and resolve operational issues that may impact marketplace account performance
- Review operational workflows and identify opportunities to improve efficiency
- Assist in developing and implementing e-commerce SOPs, systems, automation initiatives, and process enhancements
Key requirements
- Diploma or bachelor’s degree in business, supply chain, operations, marketing or a related discipline
- Preferably at least 1 year experience in e-commerce operations, retail operations, logistics, or inventory management
- Fresh graduates with strong internship or extracurricular experience are encouraged to apply
- Experience using e-commerce platforms such as WooCommerce, Shopify, Shopee, Lazada, or TikTok Shop is an advantage
- Strong Microsoft Excel skills and attention to detail
