- Manage and maintain physical and digital filing systems, ensuring all documents, records, contracts, licenses, and reports are properly controlled, updated, and archived.
- Ensure effective document retrieval and compliance with company record retention requirements.
- Oversee office, yard, and workplace facilities to ensure a clean, safe, and professional working environment.
- Coordinate facility maintenance, repairs, housekeeping activities, and workplace improvement initiatives.
- Supervise cleaning services and monitor service standards to ensure workplace standards are maintained.
- Prepare, process, and monitor Purchase Requisitions (PRs) and Purchase Orders (POs) in accordance with company procedures.
- Maintain procurement records, track outstanding requests, and follow up with relevant stakeholders.
- Coordinate with suppliers, contractors, and service providers on quotations, procurement activities, maintenance services, and administrative requirements.
- Evaluate quotations and conduct cost comparisons for management review and approval.
- Monitor vendor performance and ensure timely delivery of goods and services.
- Manage office supplies, pantry items, uniforms, and administrative inventory, including stock monitoring and replenishment.
- Maintain accurate inventory records and usage reports.
- Monitor utility consumption and prepare monthly utility monitoring reports.
- Coordinate and maintain renewal and submission of licenses, permits, and statutory documentation, including Bomba and other applicable requirements.
- Prepare administrative, facilities, vendor, procurement, and management reports.
- Provide administrative support for meetings, audits, inspections, and management reviews.
- Maintain documentation required for internal and external audits and support corrective actions when required.
- Perform other duties, projects, and responsibilities assigned by Management from time to time.
Requirements:
- Diploma or Degree in Business Administration, Management, Office Administration, or a related field.
- Minimum 3 years of relevant experience in administration, facilities management, procurement support, or office operations.
- Experience in managing vendors, contractors, and service providers is an advantage.
- Good knowledge of office administration procedures, document control, and procurement processes.
- Familiar with Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Strong organizational, communication, and problem-solving skills.
- Able to work independently, prioritize tasks, and meet deadlines.
- Able to prepare reports on a timely basis.
- Computer literate.
- Able to work in Puncak Alam.
- Contractual employment for the 1st year and subjected to permanent conversion/renewable contract based on the performance for the subsequent years.
