Role Summary
The Admin Executive is responsible for managing and coordinating all company leasing matters while providing administrative and accounts support to ensure smooth daily operations. This role requires strong attention to detail, good coordination skills, and the ability to liaise effectively with landlords, tenants, agents, internal departments, vendors, and finance personnel.
Key Responsibilities
Leasing Administration
Handle and coordinate all company leasing matters, including tenancy agreements, renewals, terminations, amendments, and related documentation.
Maintain accurate and updated records of lease agreements, rental schedules, deposits, expiry dates, renewal deadlines, and other key lease information.
Liaise with landlords, property agents, building management, tenants, contractors, and internal departments on lease-related matters.
Monitor important lease dates and follow up on renewals, payments, rent reviews, and required notices in a timely manner.
Assist in reviewing lease terms and ensuring documents are properly filed, tracked, and submitted for approval.
Coordinate property handover, inspection arrangements, utility matters, maintenance requests, and other leasing-related administrative tasks.
Prepare leasing summaries, status updates, and reports for management when required.
Submit monthly sales report to the landlord before deadline
Accounts Support
Assist the Accounts Department with basic accounting and administrative tasks.
Prepare and maintain records for rental payments, deposits, utilities, service charges, and other lease-related expenses.
Verify supporting documents such as invoices, receipts, statements of account, and payment requests before submission for approval.
Coordinate with vendors, landlords, and internal teams to ensure timely collection and submission of billing documents.
Maintain proper filing of accounting records, leasing documents, correspondence, and approvals for audit and reference purposes.
Performed any other duties assigned by management from time to time
Requirements
Diploma or Certificate in Business Administration, Accounting, Finance, Property Management, or a related field.
Previous experience in administration, leasing coordination, property management, or accounts support will be an advantage.
Basic accounting knowledge and familiarity with invoices, payments, filing, and documentation.
Good written and verbal communication skills.
Strong organizational skills with attention to detail and the ability to meet deadlines.
Proficient in Microsoft Word, Excel, Outlook, and general office systems.
Able to work independently, handle confidential information, and coordinate with multiple parties professionally.
