Company Description Joyspace Event Management is an events company dedicated to creating engaging, memorable experiences for clients across a variety of industries. The team plans and executes events such as corporate functions, product launches, social celebrations, and community activities. Joyspace focuses on end-to-end event services, from concept development and planning to on-site coordination and post-event follow-up. The company values creativity, attention to detail, and strong client relationships. Team members collaborate closely to deliver smooth, impactful events that meet client goals and expectations.

Role Description This is a full-time, on-site Event Executive role based in Petaling Jaya. The Event Executive will support the planning and execution of events from initial brief to completion, including coordinating timelines, budgets, suppliers, and logistics. Responsibilities include meeting with clients to understand their objectives, preparing proposals and presentations, and assisting in developing event concepts and run-downs. The role involves sourcing and liaising with vendors, venues, and partners, obtaining quotations, managing bookings, and ensuring all event materials and equipment are prepared on time. On event days, the Event Executive will be present on-site to oversee setup, coordinate with internal teams and external vendors, manage registration and guest flow, and troubleshoot issues to ensure a smooth experience. The role also includes post-event tasks such as debriefs, reporting, and gathering feedback to improve future events.

Qualifications

  • Experience in event planning and coordination, including managing timelines, logistics, and on-site operations.
  • Strong client service skills, with the ability to understand client needs, present ideas clearly, and maintain professional relationships.
  • Solid organizational and time-management abilities, including attention to detail, multitasking, and working under tight deadlines.
  • Effective communication and interpersonal skills, with the ability to collaborate with internal teams, vendors, and stakeholders.
  • Problem-solving skills and adaptability, with a calm, solution-focused approach in fast-paced event environments.
  • Proficiency with standard office software and basic event-related tools (e.g., spreadsheets, presentations, scheduling platforms).
  • Willingness to work flexible hours, including evenings, weekends, and public holidays when events are scheduled.
  • Diploma or degree in Event Management, Marketing, Communications, Hospitality, or a related field is preferred, or equivalent relevant experience.
  • Prior experience in events, marketing, hospitality, or related industries is an advantage.
