Key Responsibilities
1. Operations Administration
· Coordinate and manage day-to-day administrative functions to support FMS, RFID, Healthcare, and internal operations.
· Prepare project correspondence, project summary status, and documentation required for operational activities.
· Monitor deliverables and maintain trackers for project milestones, service level agreements (SLAs), and client reporting schedules.
· Ensure proper document filing, version control, and traceability across operational projects.
· Provide administrative support for internal coordination between technical, project, and commercial teams.
2. Documentation & Reporting
· Prepare, compile, and maintain project and operational reports for management review.
· Maintain and update delivery tracking logs, vendor performance logs, and document movement registers in compliance with ISO standards.
· Ensure proper archiving and record-keeping of correspondence, contracts, and project documents.
· Coordinate with relevant departments to ensure timely submission of all documentation required for projects, audits, or tenders.
3. ISO & Compliance Management
· Serve as ISO Coordinator for ISO 9001:2015 documentation and compliance management.
· Plan and coordinate internal and external audits; monitor corrective and preventive actions for non-conformance issues.
· Ensure ISO document control procedures are strictly followed and updated in line with policy revisions.
· Coordinate Management Review Committee (MRC) meetings and ensure related reports and action items are completed.
· Facilitate ISO training sessions and maintain records of employee participation and audit results.
4. Tender & Proposal Support
· Support the Senior Operations Executive in compiling and organizing tender and proposal submissions.
5. Office & Premises Administration
· Manage general office supplies, inventory, and stationery procurement.
· Ensure all purchases are properly documented with approved purchase requisitions (PR and purchase orders (PO).
· Support organization of internal meetings, events, and festive activities.
· Maintain a clean, organized, and functional office environment.
· Liaise with vendors and building management for facility-related matters.
6. System Integration (SI) and Assembly Administrative Support
· Provide administrative coordination for Systems Integration and Assembly business units as required.
· Support documentation control, progress reporting, and procurement documentation for project deliverables.
· Liaise with suppliers, contractors, and technical teams for document submissions, PRFs (Purchase Requisition Forms), and delivery schedules.
7. Communication & Coordination
· Facilitate communication between departments, vendors, and clients to ensure smooth project flow.
· Maintain professionalism and confidentiality in all internal and external communications.
· Assist the Head of Commercial & Operations and the Senior Operations Executive with scheduling, meeting coordination, and documentation needs.
· Record minutes of meetings and track follow-up actions for closure.
8. Cross-Support & Collaboration
· Provide assistance to the Senior Operations Executive on administrative tasks related to advertising, tender preparation, and reporting when instructed by the Head of Department (HOD) or Management.
· Offer temporary support across departments in the absence of key personnel, ensuring continuity of administrative and documentation functions.
· Support specific functions or project requirements across divisions as directed by Management, promoting teamwork and operational efficiency.
Pay: RM3,500.00 - RM4,000.00 per month
