Role Overview

We are seeking a reliable and detail-oriented System Administrator responsible for managing and maintaining the organization's IT infrastructure, systems, and operational documentation. The role involves ensuring smooth day-to-day IT operations, managing system access and security, maintaining IT asset inventories, and developing operational procedures and documentation.

The System Administrator will also be responsible for maintaining IT governance documentation, system architecture records, asset management processes, and access control frameworks to ensure operational efficiency, security, and compliance across the organization.

Key Responsibilities

IT Operations & System Administration

  • Manage and maintain the organization’s IT infrastructure, servers, and systems.
  • Ensure system stability, performance, and availability across all internal platforms.
  • Maintain documentation of system architecture, configurations, and access control structures across the organization.
  • Support day-to-day IT operations, troubleshooting, and system administration activities.

IT Documentation & Operational Procedures

  • Develop and maintain Standard Operating Procedures (SOPs) for IT operations and support processes.
  • Maintain documentation related to system architecture, configuration standards, and environment setup.
  • Document IT policies, security procedures, and operational workflows to ensure consistent IT practices across the organization.
  • Maintain and update IT escalation matrices and contact lists for issue resolution and support coordination.

IT Asset Management

  • Maintain a centralized inventory of IT assets, including servers, laptops, networking devices, and peripherals.
  • Track asset information including purchase date, warranty status, lifecycle stage, and depreciation schedules.
  • Maintain hardware deployment records, documenting asset assignments to employees or departments.
  • Manage and maintain IT equipment maintenance logs, including servicing, repairs, and replacements.
  • Define and implement IT asset disposal and decommissioning procedures for retiring outdated hardware.

Software & License Management

  • Maintain a comprehensive software and license inventory for all licensed applications and systems.
  • Track license expiry dates and renewal schedules to ensure compliance and avoid service disruptions.
  • Define and enforce software installation and usage policies across the organization.
  • Maintain records of vendor contracts and service-level agreements (SLAs) for hardware and software providers.

Access Management & Identity Governance

  • Manage administrative access controls and role-based privilege assignments across systems.
  • Maintain detailed user access control records and permission assignments for employees.
  • Implement and manage Multi-Factor Authentication (MFA) configurations for secure system access.
  • Ensure access privileges follow least-privilege security principles.

Security Monitoring & Compliance

  • Implement and maintain IT security policies and data protection practices.
  • Monitor and review audit logs, login activities, and system access changes.
  • Generate and maintain security monitoring and audit reports.
  • Investigate and escalate potential security incidents or suspicious activities.
  • Ensure systems align with organizational security standards and compliance requirements.

Vendor & Service Coordination

  • Coordinate with hardware and software vendors for support, maintenance, and service requests.
  • Track vendor SLA commitments and service performance.
  • Assist in vendor evaluations and contract management.

Required Technical Skills

  • Experience in System Administration or IT Operations (3–6 years)
  • Strong knowledge of Windows Server administration
  • Familiarity with Active Directory, DNS, DHCP
  • Experience managing user access control and identity management
  • Knowledge of IT asset management and documentation practices
  • Understanding of IT security practices and system hardening
  • Experience with system monitoring and troubleshooting tools
  • Knowledge of software licensing management

Security & Access Management Skills

  • Role-based access control (RBAC)
  • Multi-Factor Authentication (MFA)
  • Access audit and monitoring
  • Identity and access governance
  • Security log analysis

Good to Have

  • Exposure to cloud platforms (Azure / AWS / Google Workspace / Microsoft 365)
  • Knowledge of automation scripting (PowerShell / Bash)
  • Familiarity with ITIL service management practices

Soft Skills

  • Strong organizational and documentation skills
  • Attention to detail in maintaining system records and compliance documentation
  • Strong troubleshooting and analytical abilities
  • Ability to coordinate with multiple teams and vendors

Job Types: Full-time, Permanent

Pay: RM2,584.90 - RM4,000.00 per month
