We are seeking a highly organized and proactive Incumbent to provide structured remote support to an Australian legal practice.
This role focuses on legal administration, workflow coordination, and document management rather than legal research. Incumbent will assist to ensure matters progress smoothly by maintaining organized systems, managing deadlines, and supporting client communication.

Key Responsibilities
Legal File & Operations Management
- Open and close client files in accordance with firm procedures
- Organize and maintain structured digital folders for all matters
- Maintain and update the matter tracking system
- Monitor document checklists and follow up on missing documents to ensure matters progress on schedule
- Prepare draft Cost Agreements and Service Agreements using templates
- Assist in preparing visa application forms and supporting documents (under supervision)
- Ensure documents are properly formatted, named, and stored
- Conduct basic research on Australian visa or education courses (if required)
Client Communication & Administrative Support
- Communicate with Mandarin- and English-speaking clients via email and WeChat
- Follow up with clients regarding outstanding documents
- Draft client correspondence for lawyer review
- Maintain organized records of client communications
- Schedule appointments and assist with calendar coordination
- Record meeting file notes and update workflow records for internal team communication
Marketing & Business Support
- Format and schedule marketing content for social media platforms
- Repurpose written content into structured posts
- Maintain enquiry tracking systems
- Assist with CRM or client database updates
- Provide general administrative support for business operations
Requirements
- Able to speak, read and write Mandarin and English
- Minimum 1 year experience as an Executive Assistant, Personal Assistant, Paralegal, Legal Administrator, or Administrative Officer
- Strong organisational skills and high attention to detail
- Able to work independently and manage deadlines
- Comfortable working in a structured remote environment
