Job Summary
The Warehouse Operation Executive is responsible for overseeing daily warehouse activities, including receiving, storage, inventory control, order fulfilment, packing, dispatch, and stock movement. This role ensures warehouse operations are carried out efficiently, accurately, safely, and in compliance with company SOPs, quality standards, and safety requirements.
Key Responsibilities1. Warehouse Operations
- Monitor and coordinate daily warehouse activities, including inbound, outbound, storage, picking, packing, and dispatch.
- Ensure goods are properly received, checked, labelled, stored, and recorded.
- Maintain proper stock arrangement and warehouse cleanliness to support smooth operations.
- Ensure all warehouse activities follow company SOPs and operational requirements.
2. Inventory Management
- Monitor stock levels and stock movement to ensure inventory accuracy.
- Conduct regular stock checks, cycle counts, and stock reconciliation.
- Investigate and report stock discrepancies, damaged goods, expired items, or missing inventory.
- Ensure proper documentation for stock-in, stock-out, stock transfer, and stock adjustment.
3. Order Fulfilment and Dispatch
- Coordinate with relevant departments to ensure customer orders are prepared and dispatched on time.
- Monitor picking and packing accuracy to minimise errors and returns.
- Liaise with logistics providers, drivers, or courier services for delivery arrangement.
- Ensure delivery documents, DO, invoices, packing lists, and related records are properly prepared and filed.
4. People and Team Coordination
- Coordinate warehouse assistants, general workers, drivers, or storekeepers in daily tasks.
- Provide guidance to warehouse staff on work priorities, safety, and SOP compliance.
- Monitor staff attendance, work performance, discipline, and productivity where applicable.
- Support manpower planning for peak periods, urgent orders, or stock-taking activities.
5. Safety, Quality, and Compliance
- Ensure warehouse operations comply with workplace safety, HSE, quality, and company policies.
- Maintain proper housekeeping, storage conditions, and safe handling of goods.
- Report unsafe conditions, accidents, damages, and operational risks to management.
- Support internal audits, quality checks, and corrective action implementation.
6. Reporting and Administration
- Prepare daily, weekly, or monthly warehouse reports as required.
- Maintain accurate warehouse records, inventory documents, and operational files.
- Assist in improving warehouse workflow, space utilisation, stock accuracy, and process efficiency.
- Support ad hoc duties assigned by management.
Requirements
- Diploma or Degree in Logistics, Supply Chain Management, Business Administration, Operations Management, or related field.
- Minimum 2–3 years of relevant experience in warehouse, logistics, inventory, or operations.
- Knowledge of warehouse operations, stock control, delivery coordination, and inventory systems.
- Familiar with Microsoft Excel, warehouse management system, ERP, or inventory software.
- Good communication, coordination, problem-solving, and organisational skills.
- Able to work under pressure and manage multiple operational priorities.
- Responsible, detail-oriented, hands-on, and able to work independently.
- Knowledge of safety, 5S, ISO, or quality management practices will be an added advantage.
