Responsible for supporting the sales team by managing order processing, maintaining sales records, coordinating with internal departments, and providing excellent customer service. This role acts as a key liaison between sales, logistics, inventory, and customers, ensuring the smooth flow of information and transactions within the sales cycle.
Customer Service & Communication
- Serve as the point of contact for logistics and delivery-related inquiries from both local and overseas customers.
- Proactively communicate with customers regarding potential delays and offer alternative solutions where needed.
- Coordinate across departments (Sales, Production, Warehouse, Planning) to relay order and shipment status.
- Provide timely delivery updates and resolve complaints or issues related to logistics or documentation.
Inventory & Operational Support
- Monitor inventory availability to fulfil customer orders.
- Coordinate closely with the warehouse team to align physical stock with delivery plans.
- Support data entry, stock status tracking, and coordination with sales and production.
- Escalate delays or discrepancies in inventory or logistics for immediate resolution.
Logistics & Export Coordination
- Plan and manage shipping schedules based on demand, inventory levels, and delivery deadlines.
- Monitor shipment timelines and track delivery status from planning through execution.
- Coordinate international and domestic shipments with transporters, warehouses, and freight forwarders.
- Ensure all shipping documentation complies with customs regulations (e.g. PI, SI, BL, K2, CIPL, COO , FORM E, D , AI ).
- Prepare and verify accurate export documentation tailored to country-specific requirements.
- Oversee customs declaration activities and ensure timely clearance of export goods.
- Liaise with overseas customers and internal teams to confirm order status and delivery updates.
- Track inbound/outbound shipments, confirm collections/deliveries, and resolve transit issues.
- Resolves any issues that freight forwarders may have that interrupted shipment to customer.
- Maintain organized records of shipping documentation, both physical and digital.
- Drive improvements in shipping procedures and supply chain efficiency.
