Daily Tasks
- Follow up with HODs on assigned duties and SOP compliance.
- Track departmental progress and provide updates to management.
- Update daily work progress in the company group chat or communication channel.
- Communicate actively with HODs to monitor work progress and resolve issues.
- Draft, edit, standardize, and implement SOPs across all entities.
- Ensure SOPs are reviewed, approved, and properly stored in the IMS.
- Monitor and enforce SOP compliance across departments.
- Prepare daily reports highlighting progress and areas of non-compliance.
- Manage the Director’s calendar, meetings, appointments, and reminders.
- Handle official correspondence (emails, memos, letters, calls).
- Maintain confidentiality of all sensitive documents and information.
- Support urgent SOP drafting, editing, and updates.
- Act as a neutral coordinator, ensuring processes run strictly according to documented SOPs.
- Communicate with staff only on SOP-related matters (avoid unrelated discussions).
- Assign tasks to departments with clear due dates and follow up to ensure completion.
- Prepare briefing notes for the Director ahead of meetings.
- Prioritize and filter incoming requests, emails, and calls for the Director.
- Track critical deadlines and ensure timely submission of reports or documents.
- Maintain an organized electronic and physical filing system for all key documents.
- Pull and compile data requested by the Director as and when required.
- Provide support to the Group Director (Mr. Muin) as and when required, including tracking and following up on pending tasks to ensure timely completion.
Weekly Tasks
- Arrange and attend HOD & management meetings (attendance required if scheduled).
- Pull weekly sales or operational data requested by the Director.
- Arrange weekly meetings between the Director and HODs across all entities.
- Record and distribute minutes of meetings, and follow up on action items.
- Prepare and submit weekly SOP compliance/progress reports.
- Ensure all HODs update pending tasks for their departments.
- Ensure all memos, circulars, and announcements comply with company SOP standards.
- Check and review minutes of previous meetings.
- Assist in preparing SOP-related presentations and reports for management.
- Manage the Director’s schedule, meetings, and related administrative tasks.
- Arrange travel, accommodation, and logistics when needed.
- Act as the liaison between management and staff in all entities.
- Ensure deadlines for assigned tasks are met.
- Coordinate cross-department projects or initiatives as requested by the Director.
- Monitor and report on KPIs relevant to management.
- Draft communications or speeches for the Director when required.
- Maintain updated dashboards for operational, sales, or SOP compliance metrics.
- Perform data extraction, consolidation, and reporting analysis as requested by the Director.
- Arrange and coordinate weekly meetings between the Director and all entities, ensuring full attendance, proper scheduling, and timely communication.
Monthly Tasks
- Pull and compile all entities’ sales reports for the Director.
- Arrange meetings with shareholders and branch GMs.
- Take meeting notes, share them, and follow up on pending tasks.
- Prepare and present monthly sales reports.
- Prepare meeting minutes when required and escalate unresolved matters to the Director.
- Review and update each department’s SOPs.
- Combine SOP compliance reports for management.
- Summarize performance of all entities and highlight areas of non-compliance.
- Assist in special meetings, reviews, or company events as needed.
- Review and reconcile Credit Note (CN) payments on a monthly basis.
- Conduct preliminary analysis of reports before submission to Director (trend analysis, anomalies).
- Coordinate board reports, management summaries, and monthly operational dashboards.
- Track and report progress on strategic initiatives across entities.
- Prepare full Profit & Loss (P&L) reports for the Director, including analysis and key insights.
- Arrange and coordinate monthly management meetings between the Director and all entities, including preparation of agenda, meeting materials, and follow-up on action items.
Ad-Hoc
- Attend the Director’s external meetings and take notes for follow-up.
- Arrange travel, flights, accommodation, and logistics for the Director and guests.
- Assist the Director in preparing management reports, ensuring information is compiled on time.
- Design and send festival posters or corporate communications to customers.
- Arrange hotel and transport (e.g., Grab) for customer/supplier visits.
- Attend site visits by government officers, suppliers, and customers.
- Entertain customers/suppliers when the Director is unavailable.
- Assist with SOS tasks from various departments.
- Handle Director’s personal claims and reimbursements.
- Coordinate visits/arrangements for overseas suppliers and visitors.
- Assist in preparing management presentations, proposals, and strategic documents.
- Manage confidential projects or initiatives with full discretion.
- Provide personal and professional support to management as required.
- Track and follow up on critical deadlines for the Director and management team.
- Liaise with external stakeholders, vendors, and partners on behalf of the Director.
- Maintain confidentiality and professional handling of sensitive business and personal information.
- Assist and support the Group Director on assignments, meetings, and operational matters when required.
- Monitor, track, and follow up on the Group Director’s pending tasks, ensuring proper coordination and closure.
- Perform any additional data pulling, reporting, or financial analysis (including P&L) as required by the Director.
Requirements
- Diploma/Degree in Business Administration, Management, Account or related field
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- High attention to detail and strong discipline in following SOPs
- Ability to work under pressure and handle confidential matters
- Proficient in Microsoft Office / Google Workspace
- Experience in executive support, operations, or coordination role is an advantage
- Prefer age within 35-45
- Candidates with experience in FMCG, Retail, or Manufacturing environments are encouraged to apply.
