Job Description

Job Overview

The Sales & Project Admin Intern provides administrative and coordination support to the sales, project, and maintenance teams. The role involves managing project and contract documentation, tracking schedules and renewals, preparing proposals and invoices, and coordinating with internal teams and clients to ensure smooth project execution and timely service delivery. The position also supports reporting, data tracking, and communication across departments to ensure accurate records, efficient operations, and timely completion of sales and project activities.

Key Responsibilities:

  • Maintain client contracts, maintenance schedules, project documentation, and billing records while tracking renewals, service timelines, and project milestones.
  • Assist the sales team in preparing quotations, proposals, tender submissions, and project documentation aligned with technical and commercial requirements.
  • Support project and maintenance teams in procurement tracking, documentation control, and coordination with site teams and suppliers to ensure timely project delivery.
  • Consolidate sales and project data, track performance, and prepare reports on contract status, project progress, and revenue forecasts.
  • Liaise with clients and internal departments to ensure smooth communication, resolve issues related to scope or billing, and support timely project and service delivery.
  • Ad hoc task assignments by manager.

Requirements:

  • Currently pursuing a Diploma or Degree in Business Administration, Project Management, Engineering, or related discipline.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint) for reporting, documentation, and data tracking.
  • Strong ability to manage multiple project documents, procurement coordination, billing processes, and contract records accurately.
  • Detail-oriented, well-organized, and able to work in a fast-paced environment, with good communication skills and a customer-oriented mindset
