Key Responsibilities
1.1 Administrative & Office Support
a. Perform general administrative and clerical duties to support daily office operations.
b. Handle filing, sorting, recording, and maintenance of company records, documents, and correspondence.
c. Record, track, distribute, and maintain proper documentation for incoming and outgoing correspondence.
d. Perform interoffice administrative coordination and support functions as required.
e. Operate standard office equipment and administrative systems including computers, printers, scanners, and related office applications.
f. Assist in preparing reports, spreadsheets, letters, and administrative documentation.
1.2 Invoice & E-Invoicing Administration
a. Create, maintain, and update spreadsheets for invoice tracking, payment monitoring, and financial records.
b. Assist in managing e-invoicing processes including invoice generation, verification, reconciliation, and documentation.
c. Verify invoice details, claims, payment records, purchase orders, and deposit slips accurately before processing.
d. Assist in maintaining accurate records relating to financial transactions and payment status.
e. Support finance and administration functions involving invoicing documentation and payment coordination.
f. Ensure invoice-related records and supporting documents are properly filed and maintained for audit and operational purposes.
1.3 Vendor & Communication Coordination
a. Maintain professional communication and working relationships with vendors, suppliers, customers, and internal departments.
b. Respond professionally to invoice-related inquiries and administrative matters through telephone, email, and official correspondence.
c. Coordinate and follow up on pending administrative matters, documentation, and operational requests where necessary.
d. Maintain confidentiality of company information, financial records, and operational documents at all times.
1.4 Data Management & Documentation Control
a. Maintain accurate and updated data entry into company systems, spreadsheets, databases, and official communication channels.
b. Ensure proper organization, maintenance, and retrieval of records for operational and audit purposes.
c. Assist in compiling reports, records, supporting documents, and ad hoc administrative projects as assigned.
d. Ensure assigned administrative tasks are completed accurately, efficiently, and within required timelines.
1.5 General Responsibilities
a. Perform any other administrative, clerical, operational support, or ad hoc duties as assigned by the Management from time to time.
b. Comply with company policies, procedures, operational requirements, and confidentiality obligations at all times.
c. Maintain professionalism, discipline, and effective coordination in carrying out assigned responsibilities.
Requirements
2.1 Education & Qualifications
a. Minimum SPM or equivalent qualification.
b. Diploma in Business Administration, Accounting, Finance, or related field will be an added advantage.
2.2 Experience
a. Minimum one (1) to three (3) years of working experience in administrative support or finance-related administrative roles.
b. Prior experience in e-invoicing, invoice processing, payment coordination, or reconciliation processes is highly preferred.
2.3 Knowledge & Technical Skills
a. Proficient in Microsoft Office applications, particularly Microsoft Excel.
b. Familiarity with e-invoicing systems and administrative documentation processes.
c. Basic understanding of financial documentation, payment processing, and reconciliation procedures.
d. Ability to maintain proper records, filing systems, and documentation control.

d. Ability to work independently and as part of a team.
e. Able to handle confidential information professionally and discreetly.

3.0 Working Conditions
a. Primarily office-based working environment with occasional operational or administrative support duties as required.
b. May be required to handle multiple administrative tasks simultaneously within operational deadlines.
c. Required to maintain proper coordination with internal departments, vendors, and management where necessary.
Pay: From RM1,700.00 per month
Work Location: In person
