Job Description: Administrative Assistant
1. General Purpose
To support the efficient operation of the office by handling administrative tasks, coordinating communication, and assisting staff with documentation, scheduling, and general office management.
2. Key Responsibilities
Office Administration
- Manage daily office operations and administrative tasks
- Maintain filing systems (digital and physical) in an organized manner
- Handle incoming calls, emails, and correspondence professionally
Scheduling & Coordination
- Arrange meetings, appointments, and calendars for managers or teams
- Coordinate internal and external meetings, including logistics and meeting rooms
- Prepare meeting agendas and take minutes when required
Document Preparation
- Draft, format, and proofread letters, reports, presentations, and memos
- Assist in preparing business documents and maintaining records
- Ensure accuracy and confidentiality of all documentation
Data & Record Management
- Input and update data in internal systems or spreadsheets
- Maintain databases and ensure information is up to date
- Generate basic reports when required
Communication & Liaison
- Act as a point of contact between departments and external parties
- Support communication flow within the organisation
- Assist in handling enquiries and directing them appropriately
Office Support
- Order office supplies and monitor inventory
- Assist in onboarding new employees (stationery, access, documentation)
- Support ad-hoc administrative and operational tasks
3. Skills & Competencies
- Strong organisational and time management skills
- Good written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Attention to detail and accuracy
- Ability to multitask and work under pressure
- Professional discretion and confidentiality
4. Qualifications
- Minimum SPM / Diploma / Bachelor’s degree (depending on role level)
- Prior administrative or clerical experience is an advantage
5. Reporting Line
Typically reports to:
- Office Manager / Department Manager / Executive Team Lead
Pay: RM2,300.00 - RM2,700.00 per month
