We’re Hiring: Document Controller

Project: 275kV Consumer Landing Station (CLS) for Data Centre

Location: Senawang, Negeri Sembilan / Sedenak, Johor

Employment Type: Full-Time / Contract

Position Summary

The Document Controller shall be responsible for managing, controlling, tracking, and maintaining all project documentation related to the 275kV Consumer Landing Station (CLS) and data centre infrastructure project.

The role includes ensuring proper document numbering, revision control, submission tracking, filing, distribution, and archiving of all technical and commercial documents in accordance with project procedures and quality management requirements.

Requirements

Academic Qualification

• Diploma in:

o Business Administration

o Engineering

o Construction Management

o Information Management

Working Experience

Junior Document Controller

• 1–3 years experience in construction/project documentation

Document Controller

• 3–5 years relevant experience

Senior Document Controller

• 5+ years experience in large-scale infrastructure, industrial, substation, or data

centre projects

Preferred experience in:

• Construction industry
• Data centre projects
• EPC/EPCC projects
• Substation projects

Technical Skills

• Strong knowledge of document control procedures
• Familiar with:
• Procore
• Autodesk Forma
• SharePoint
• EDMS
• Microsoft Excel
• Microsoft Office
• Good understanding of revision control and transmittal process

Preferred Skills

• Knowledge of ISO 9001 document management system
• Experience handling technical engineering documents
• Ability to manage large volume of project documents

Soft Skills

• Good organizational and filing skills
• Attention to detail
• Good communication and coordination skills
• Able to work under pressure and meet deadlines
• Strong follow-up and monitoring capability

Key Responsibilities

Document Management

• Control and maintain all incoming and outgoing project documents.
• Register, track, and update:

o Drawings

o Method Statements (MOS)

o Inspection & Test Plans (ITP)

o Material Submissions

o Technical Submissions

o RFIs

o NCRs

o Site Instructions

o Correspondences

o Test reports

o As-built drawings

• Ensure all documents are properly numbered, filed, and distributed.

Revision & Submission Control

• Maintain document revision history and status logs.
• Ensure only latest approved documents are used at site.
• Monitor document submission status including:

o Submitted

o Reviewed

o Approved

o Revise & Resubmit

o Rejected

• Follow up with engineers and subcontractors on pending submissions.

Filing & Archiving

• Maintain organized hardcopy and softcopy filing systems.
• Ensure proper backup and document security.
• Archive superseded and completed project documents systematically.

Coordination & Communication

• Coordinate with:

o Project team

o Consultants

o Client representatives

o Subcontractors

o Vendors

• Distribute approved documents to relevant parties promptly.

System & Software Management

• Update document tracking systems and registers.
• Manage project documentation through:

o Procore

o SharePoint

o EDMS

o Microsoft Excel trackers

• Ensure all records are updated accurately and timely.

Reporting

• Prepare weekly/monthly document status reports.
• Monitor overdue submissions and approvals.
• Assist project team during audits and document reviews.

Quality Compliance

• Ensure document control procedures comply with:

o ISO 9001 Quality Management System

o Company procedures

o Client requirements

• Support QAQC and project compliance documentation.

Pay: From RM2,800.00 per month
