HR & IWAY Executive / Generalist - Pulau Indah

We are seeking a proactive, responsible, and people-oriented HR & IWAY Executive / Generalist to manage and support the full spectrum of Human Resources functions while ensuring compliance with company policies, labor regulations, and IWAY standards.

This role is responsible for recruitment, onboarding, payroll and attendance administration, training and development, employee relations, disciplinary management, foreign worker administration, HR compliance, staff engagement initiatives, and overall HR operational support. The ideal candidate should be organized, independent, and capable of handling HR matters professionally in a fast-paced environment.

Key Responsibilities

  • Manage the full recruitment cycle, including manpower requisition, job posting, candidate screening, interview coordination, reference checks, onboarding, and orientation processes

  • Coordinate employee confirmation, transfer, promotion, resignation, and exit management processes

  • Support monthly payroll preparation, attendance monitoring, overtime verification, leave administration, and statutory compliance matters

  • Maintain accurate employee records, HR databases, personnel files, and documentation in compliance with company standards and legal requirements

  • Handle employee insurance, medical claims, staff benefits administration, and employee inquiries professionally and confidentially

  • Plan, coordinate, and execute employee training and development programs, including annual training plans and employee development initiatives

  • Manage HRDF matters, including training grant applications, claims submission, training records, and compliance with HRD Corp requirements

  • Organize employee engagement activities, internal HR communications, and staff welfare initiatives to promote positive employee relations

  • Handle disciplinary and grievance matters, including counseling sessions, show cause letters, warning letters, suspension processes, and Performance Improvement Plans (PIP)

  • Conduct and coordinate Domestic Inquiry (DI) proceedings and ensure proper documentation and compliance with company procedures and labor regulations

  • Handle and manage Industrial Relations (IR) and Labour Office (JTK) matters, including investigations, employee disputes, complaint handling, and liaison with relevant authorities

  • Ensure compliance with Employment Act 1955, labor laws, company policies, and IWAY requirements

  • Manage foreign worker matters, including permit renewal, hostel arrangements, documentation, welfare, and coordination with government agencies or external service providers

  • Prepare HR reports, employment letters, memos, contracts, disciplinary documentation, and other HR-related correspondence

  • Support HR audits, internal compliance checks, policy implementation, and HR operational improvement initiatives

  • Collaborate with department heads and management on workforce planning, manpower requirements, and employee-related matters

  • Perform other ad-hoc HR and administrative duties assigned by Management


Requirements

  • Minimum Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, or related field.

  • At least 3 years of relevant HR Generalist / HR Executive experience.

  • Strong knowledge of Payroll processes, Employment Act 1955, Industrial Relations practices, and Malaysian labor regulations.

  • Experience in handling disciplinary matters, grievance handling, Domestic Inquiry (DI), JTK cases, and IR cases.

  • Experience in training coordination, employee development planning, and HRDF claim management.

  • Familiarity with IWAY standards or compliance requirements will be an added advantage.

  • Good communication, interpersonal, negotiation, and problem-solving skills.

  • Able to maintain confidentiality and handle sensitive matters professionally.

  • Proficient in Microsoft Office applications and HR systems.

  • Independent, organized, detail-oriented, and able to work effectively in a fast-paced environment.

  • Strong coordination, multitasking, and stakeholder management abilities with a positive working attitude.
