coordinate daily logistics operations and ensure all logistics activities comply with company procedures, Royal Malaysian Customs Department (RMCD) requirements and international trade regulations
Liaise with freight forwarders, shipping agents, transporters, and customs brokers to monitor shipment status, resolve delivery issues, and ensure smooth export clearance
Coordinate internally with purchasing, warehouse and sales teams to align delivery schedules and shipment readiness
Handle export activities from Malaysia to Indonesia, Singapore, Thailand and some other countries and ensuring compliance with destination country import requirements
Process sales orders accurately and in a timely manner, ensuring all order details, shipping instructions, and customer specification are fulfilled correctly
Prepare, verify and manage full set of export shipping and customs documentation, including commercial invoices, packing lists, shipping instructions, bill of lading/airway bills, certificates of origin and export declarations
Prepare and submit RMCD export documentation including Customs Form No. 2 (K2 Export Declaration Form), Certificate of Origin (Form D /e-Form D for ASEAN Trade), Strategic Trade documents (if applicable) and other relevant RMCD export forms and permits
Ensure accurate HS Code classification and tariff coding for all export shipments to support correct customs declaration and regulatory compliance
Ensure compliance with Malaysian export regulations, Free Trade Agreement (FTA) requirements, trade restrictions, sanctions and destination country import regulations
Maintain proper records and filing of export documentation in accordance with company policy and RMCD audit requirements
Understand and apply Incoterms (EXW, FOB, CIF, DDP, etc) to determine responsibilities, costs, insurance and risk transfer for international shipments
Coordinate international logistics activities across air, sea and land freight channels to ensure timely and cost-effective delivery of goods
Work closely with freight forwarders and warehouse teams to arrange booking, container loading, shipment scheduling and customs clearance activities
Monitor shipment progress and proactively resolve custom clearance, transportation or documentation issues to minimize delays and additional costs
Support continuous improvement initiatives to enhance logistics efficiency, export compliance, and customer satisfaction
Requirements :
Bachelor's Degree or Diploma in Logistics / Supply Chain Management / Business Administration or related field
Minimum 1 -3 years of related working experience in logistics, export documentation
Familiar with HS Code classifications, customs declaration procedures and Incoterms
Experience in handling freight forwarders, shipping agents and customs agents
Proficient in logistics ERP system
Strong Excel skills to manage export data, track shipments, streamline processes and ensure accurate reporting
Proficient in English and Bahasa Malaysia and ability to communicate in Mandarin is an added advantage
Strong organizational, communication and problem-solving skills
Able to work independently, fast learner and able to manage multiple tasks in a fast-paced environment
