Project Specialist
About the Role
We are looking for a Project Specialist to support the Head of Product across multiple workstreams. This is a hands-on execution role - not purely coordination. The person will manage the tech track end-to-end, oversee our internal systems (Zoho and our proprietary CRM/DB), identify process and system gaps across departments, and ensure all teams are using our platforms effectively. They will also flex into other projects as directed by the Head of Product.
Key Responsibilities
Tech Project Management
- Gather and document requirements from internal stakeholders
- Coordinate between stakeholders and the development team
- Track progress, manage timelines, and escalate blockers early
- Coordinate UAT, document feedback, and follow up on fixes
- Manage deployments and post-launch monitoring
- Maintain project documentation - scope, change logs, release notes, and SOPs
Database & System Administration
- Serve as the primary point of contact for any database-related issues across Zoho and our internal DB/CRM
- Manage user accounts - creation, deactivation, and access requests
- Configure and maintain role and permission settings
- Ensure proper audit trails are in place and regularly reviewed
- Maintain up-to-date documentation for all system configurations
Process & System Improvement
- Identify gaps in how departments are currently using Zoho and the internal DB
- Work with each department to understand pain points and inefficiencies in their current workflows
- Propose and implement improvements to ensure more streamlined and consistent system usage across the organisation
- Monitor adoption and follow up to ensure changes are sustained
General Project Support
- Assist the Head of Product on ad hoc projects across sales, product, or operations as needed
- Help prepare decks, trackers, or supporting materials as required
- Take ownership of tasks assigned and see them through to completion
Qualifications
- Diploma or Bachelor's degree in IT, Business, Computer Science, or a related field
- 1-3 years’ experience in a project coordination, business analyst, system admin, or similar role
- Hands-on experience with CRM or business systems (Zoho experience is a strong advantage)
- Able to write clear requirements docs, briefs, or user stories
- Comfortable with project management tools (Jira, Notion, Trello, or similar)
- Strong communication in English and Bahasa Malaysia
- Organised, proactive, and able to manage multiple tasks across different departments
Good to Have
- Experience working with external dev vendors or outsourced teams
- Basic understanding of SDLC or agile/scrum
- Background in tech, energy, or startup environments
- Experience in process improvement or change management
