Two positions open for immediate joining. We are a Japanese company from Osaka specialising in medical machinery, devices, equipment and health and wellness solutions including healthcare products, elderly care homes and dietary supplements.
JOB SCOPE. You will provide reliable and efficient support to the Head of Department (HOD). This role is mostly office based but also requires handling personal matters. You must not refuse work related tasks including outstation travel, visiting sites, accompanying the HOD to meet customers, and serving the bosss factory guests from Japan while accompanied by the HOD.
PRIMARY RESPONSIBILITIES.
1. Administrative and Office Support.
a. Manage daily office tasks including filing, data entry and correspondence.
b. Prepare reports, letters, meeting minutes and presentation materials.
c. Coordinate internal communication and maintain office systems.
d. Handle phone calls, emails and scheduling for the HOD.
2. Personal Assistance to HOD.
a. Manage the HODs calendar, appointments and travel arrangements.
b. Assist with personal errands and private matters as required.
c. Remind the HOD of important deadlines and commitments.
3. Outstation and Site Support.
a. Accompany the HOD to outstation locations when required.
b. Visit project sites and assist with documentation or coordination.
c. Join the HOD to meet customers and provide administrative support during meetings.
4. Japanese Factory Guest Support.
a. Assist in serving and attending to visitors from the bosss factory in Japan.
b. Work closely with the HOD during all guest related activities.
REQUIREMENTS.
1. Fresh graduates are welcome to apply.
2. Proficient in Microsoft Office (Word, Excel, PowerPoint) and basic office software.
3. Good communication skills in English and Bahasa Malaysia. Japanese is an advantage but not mandatory.
4. Organised, punctual and able to work independently.
5. Willing to travel outstation and accompany HOD during work related activities.
6. Possess a valid Class D driving licence is an advantage.
7. Able to start immediately.
SALARY. Negotiable based on experience and skills.
