Job Overview
We are seeking an experienced Material Coordinator to plan, coordinate, monitor, and supervise on-site materials management activities to ensure timely availability of materials, tools, equipment, and resources required for maintenance and project activities.
The successful candidate will act as the central focal point for material readiness, working closely with Maintenance teams, Planners, Operations, Procurement, Warehouse, contractors, and vendors to ensure materials are available and ready for execution.
The role also involves maintaining accurate material data and records, monitoring material status and deliveries, managing shortages and delays, supporting inventory control, and ensuring proper handling of surplus, scrap, preservation, and disposal activities in accordance with Company procedures and procurement governance.
Key Responsibilities
- Plan, coordinate, and supervise on-site materials management activities to support maintenance and project requirements.
- Ensure timely availability and readiness of materials, spare parts, tools, and equipment required for maintenance execution.
- Act as the central focal point for material readiness and coordinate material requirements across relevant stakeholders.
- Review maintenance work orders and job requirements to identify required materials and resources.
- Coordinate with Maintenance Planners to ensure material requirements are identified and planned in advance.
- Plan, request, track, and monitor materials required for preventive and corrective maintenance activities.
- Monitor material availability against scheduled maintenance activities and highlight potential shortages or delays.
- Coordinate with Procurement, Warehouse, vendors, and suppliers to expedite outstanding materials.
- Track procurement and delivery status and ensure materials are available before the planned execution date.
- Manage material delays and coordinate recovery actions to minimise disruption to maintenance activities.
- Maintain accurate material data, records, and system updates, including relevant Material Readiness (MRDY) status.
- Perform data entry and maintain accurate information in SAP PM / SAP MM or other applicable systems.
- Monitor inventory levels, material utilisation, surplus materials, and obsolete materials.
- Coordinate proper handling, preservation, storage, and identification of materials and resources.
- Ensure appropriate management of surplus, scrap, and material disposal in accordance with Company procedures.
- Verify material records and documentation for accuracy and completeness.
- Support maintenance execution by ensuring all required materials and resources are available at the right time and location.
- Resolve material-related issues promptly to avoid maintenance job delays.
- Prepare material status reports, delivery tracking reports, inventory reports, and other required management reports.
- Monitor and report material performance, shortages, delays, and readiness status.
- Identify recurring material-related issues and recommend improvements to enhance material availability and maintenance execution.
- Ensure compliance with material management procedures, policies, procurement governance, and applicable Company requirements.
- Ensure procurement activities and vendor engagements comply with approved processes and Approved Supplier List (ASL) requirements.
- Support audits, inspections, stock verification, and other materials management activities when required.

Monitoring & Tracking
Responsibilities include:
- Track material availability and delivery status.
- Monitor material readiness against maintenance schedules.
- Identify material shortages and potential delays.
- Follow up with Procurement, Warehouse, vendors, and suppliers.
- Update material status in SAP / applicable systems.
- Monitor and report MRDY status.
- Prepare regular material performance and readiness reports.
- Identify trends and recurring material supply issues.
Problem Solving & Maintenance Support
- Resolve material-related issues promptly to prevent maintenance delays.
- Identify alternative solutions for material shortages where appropriate and in accordance with Company procedures.
- Coordinate urgent material requirements for critical maintenance activities.
- Support Maintenance Planners and execution teams in ensuring job readiness.
- Escalate critical material constraints to the appropriate stakeholders.
- Contribute to continuous improvement of the material management process.
Compliance & Process Discipline
- Ensure compliance with Company material management procedures, policies, and processes.
- Follow procurement governance and approved purchasing procedures.
- Ensure coordination with suppliers and vendors is conducted in accordance with applicable Company requirements.
- Maintain awareness of and comply with the Approved Supplier List (ASL).
- Ensure proper documentation and traceability of materials.
- Support compliance with safety, environmental, quality, and operational requirements related to material handling and management.
Qualifications & Requirements
- Minimum 5 years of relevant working experience in the related industry as required by the Company.
- Bachelor's Degree in Engineering, Materials Management, Supply Chain Management, Logistics, or other relevant discipline, or equivalent qualification.
- Relevant experience in materials coordination, materials management, supply chain, plant maintenance, or project materials management.
- Strong knowledge of SAP ECC6, particularly the Plant Maintenance (PM) and/or Materials Management (MM) modules.
- Good understanding of plant maintenance materials, spare parts, tools, and equipment.
- Experience in material planning, tracking, inventory control, and vendor coordination.
- Strong coordination and stakeholder management skills.
- Good analytical and problem-solving abilities.
- Proficient in Microsoft Office and other relevant computer applications.
- Strong report writing and documentation skills.
- Good communication and interpersonal skills.
- Able to work independently and coordinate effectively with multidisciplinary teams.
- Able to manage multiple material requirements and priorities in a fast-paced operational environment.
