Job Description

Responsibilities

Job Summary We are seeking a highly professional, welcoming, and organized Receptionist to join our operations support team at our Buroh Lane headquarters. In this high-visibility role, you will serve as the premier face and voice of our organization. You will be responsible for managing our front-desk reception area, directing a high volume of inbound telecommunications, coordinating visitor security check-ins, and providing essential clerical support to our logistics and management departments. The ideal candidate will combine exceptional interpersonal maturity and professional telephone etiquette with sharp attention to detail to maintain a seamless, executive-ready corporate entrance environment.

Key Responsibilities

  • Front-Desk Management: Maintain a professional, immaculate, and secure reception workspace, welcoming and directing all visiting corporate accounts, logistics vendors, and engineering contractors.
  • Telecommunications Control: Operate the central corporate switchboard, answer incoming inquiries promptly and professionally, and accurately route calls or transcribe messages for designated departments.
  • Visitor Security Compliance: Administer strict visitor gate-check protocols, issue proximity access passes, and maintain accurate physical or digital visitor registry logs in compliance with industrial safety frameworks.
  • Clerical & Data Support: Support the operations and HR departments with basic administrative tasks, including processing incoming/outgoing corporate mail, courier shipping distributions, and general data entry tracking.
  • Meeting Room Coordination: Manage corporate room calendars, optimize bookings for shared boardrooms, and assist in coordinating logistics or tech hospitality configurations for executive panels.
  • Inventory Oversight: Monitor and track inventory benchmarks for reception materials, front-office supplies, and corporate pantry items, placing reorders to prevent operational gaps.
  • Data Privacy Adherence: Ensure all visitor records, call registries, and customer dataset interactions strictly comply with internal data security protocols and the Personal Data Protection Act (PDPA).

Requirements

  • Education: Minimum GCE O-Level, Higher NITEC, or a Diploma in Business Administration, Hospitality, Corporate Communications, or a related professional discipline.
  • Technical Skills: High competency in standard Microsoft Office applications (specifically Excel for registry logs and Word for letters). Familiarity with basic office phone switchboards is required.
  • Experience: Prior experience (1–4 years) in a corporate receptionist, front-office customer service, or high-touch hospitality role is required. Experience working within a logistics, manufacturing, or distribution environment is a strong asset.
  • Communication: Exceptional verbal and written English communication skills; a highly polished, approachable presentation style and outstanding interpersonal empathy.
  • Core Competencies: Outstanding structural logic, ability to remain calm and systematic under multi-tasking pressure, intense attention to detail, and a resilient team-player mindset.

Pay: $4,600.00 - $5,900.00 per month
