Roles & Responsibilities
Perform general administrative and clerical duties to support daily company operations.
Prepare quotations, invoices, delivery orders, purchase orders, and other relevant documents.
Assist in preparing and maintaining company records, reports, and filing systems.
Coordinate with customers, suppliers, site personnel, and operations teams regarding job schedules and requirements.
Assist in arranging and coordinating machinery moving, transportation, lifting, and delivery schedules.
Prepare and submit documents required for work permits, site access, LTA applications, lane closure applications, and other relevant authorities when required.
Assist with manpower deployment records, attendance, timesheets, and overtime records.
Handle incoming calls, emails, enquiries, and correspondence professionally.
Assist in preparing method statements, risk assessments, and other project-related documents when required.
Maintain proper records of project documents, certificates, equipment records, and customer correspondence.
Assist with billing, payment follow-up, and basic accounting-related administrative work.
Prepare and post job advertisements on CareerFuture and other suitable recruitment platforms when required.
Assist with arranging interviews and coordinating with candidates for recruitment matters.
Perform any other administrative duties as assigned by the management.
Requirements & Qualifications
Diploma or equivalent qualification in Business Administration, Human Resources, Logistics or a related discipline.
Two to five years of experience in administration, office coordination or a similar support role.
Proficient in Microsoft Office applications, particularly Word, Excel, PowerPoint and Outlook.
Strong organisational and time-management abilities, with good attention to detail.
Effective written and verbal communication skills.
Capable of working independently while cooperating effectively with Management and other departments.
Responsible and professional, with the ability to handle personnel records and confidential information appropriately.
