Scope of workThe Contract Administrator role supports contract administration throughout project execution for the MIRI ORF + TL7 project. Responsibilities include:
- Reviewing contract terms, scope of work, deliverables, and administrative requirements to support project execution.
- Monitoring contractual obligations, submission deadlines, and outstanding actions.
- Maintaining contract registers and tracking key milestones, notices, approvals, and deliverables.
- Identifying contractual issues and escalating matters requiring project or commercial review.
- Preparing and coordinating contractual letters, notices, clarification requests, and responses, ensuring accuracy and timeliness.
- Maintaining a traceable correspondence register including response deadlines and action status.
- Recording meeting discussions, instructions, and commitments relevant to contractual matters.
- Maintaining variation and change-order registers tracking submissions, supporting documents, review status, and approvals.
- Coordinating with project teams to document changes to scope, schedule, or cost.
- Compiling supporting records such as instructions, correspondence, progress information, and cost breakdowns.
- Following up on outstanding information and approvals to support timely assessment and closure.
- Compiling and organizing documentation supporting contractual claims and responses.
- Maintaining records of events, instructions, delays, and changes with contractual or commercial implications.
- Assisting project and commercial teams in reviewing claim submissions and identifying documentation gaps.
- Maintaining clear records of contractual decisions, agreed changes, and unresolved commercial matters.
- Checking contractor submissions for completeness against contractual requirements.
- Coordinating review and follow-up of contractor deliverables with internal teams.
- Working with procurement, project, and commercial teams to resolve documentation discrepancies and outstanding actions.
- Supporting contract close-out by consolidating final correspondence, approved changes, and outstanding contractual items.
Requirements include
- relevant experience in contract administration, contracts engineering, or commercial support during project execution
- working knowledge of contractual terms, obligations, notice requirements, and change-control procedures
- experience handling contractual correspondence, variations, change orders, and claims documentation
- ability to review contractor submissions and identify missing or inconsistent information
- strong recordkeeping, written communication, organizational skills, and attention to detail
- ability to manage competing deadlines and coordinate across contractors and internal teams
Preferred experience includes supporting oil & gas, energy, construction, or EPC projects; exposure to contractor or subcontractor administration within multidisciplinary project teams; and experience supporting claims assessment, commercial reporting, and contract close-out.
