Job Summary
We are looking for a versatile and service-oriented
Event & Guest Relations Officer
to join our Front Office team.
This is a hybrid role combining
Front Office guest relations responsibilities with event venue operations
. The successful candidate will be responsible for delivering a positive guest experience throughout the guest journey, including check-in, check-out and attending to guest enquiries, while also supporting the hotel’s event operations when required.
The role requires someone who is
customer-focused, hands-on, organised and adaptable
, with the ability to switch between guest-facing Front Office duties and event setup and operational support.
Key Responsibilities
A. Event Operations
When assigned to support events, the incumbent will assist with the preparation, setup, execution and turnaround of event venues.
Set up and turn around event venues according to the required event specifications.
Assist with pre-event and post-event site inspections and venue handover.
Conduct routine venue inspections and ensure event areas are properly maintained and ready for use.
Prepare and maintain documentation relating to venue facilities and inspection protocols.
Support the accurate logging and follow-up of maintenance issues.
Prepare status reports on venue conditions and operational readiness.
Assist in consolidating client feedback relating to venue operations.
Support the implementation of venue improvements in conjunction with the Technical Services Department.
Assist with updating venue Standard Operating Procedure (SOP) handbooks and related administrative records.
Conduct safety and security briefings for clients and vendors where required.
Coordinate with the Security Department on the implementation of event-related security measures.
Support the execution of crowd control and evacuation plans in collaboration with event organisers.
Monitor event operations to ensure compliance with Workplace Safety and Health policies and regulations.
Prepare incident reports for any event-related incidents or irregularities.
Assist in supervising vendors to ensure proper setup and teardown of event-related structures and equipment.
Coordinate with internal stakeholders and external vendors to ensure event logistics are properly arranged.
Liaise with the Technical Services Department to ensure event technical requirements are met.
Assist in managing casual staff engaged for events, including deployment and coordination.
Maintain records of departmental spending and budget utilisation for periodic review.
Assist in researching relevant workplace and event technology applications to improve productivity and operational efficiency.
Provide feedback on the usage and effectiveness of workplace technology.
B. Front Office & Guest Relations
Perform guest
check-in and check-out
procedures efficiently and professionally.
Attend to guests' enquiries, requests and feedback to ensure a high level of guest satisfaction.
Handle room reservation requests from call-in and walk-in guests.
Coordinate closely with Housekeeping to ensure accurate and timely room status information.
Promote the hotel's accommodation packages, loyalty programmes, F&B offerings and other services to guests.
Perform cashiering functions, including handling guest accounts, billing and related transactions.
Generate and verify Front Office reports to ensure accuracy.
Handle incoming calls and respond to guests' requests or direct calls to the appropriate departments for follow-up.
Maintain a professional image by adhering to the hotel's grooming and hygiene standards.
Proactively identify opportunities to enhance the guest experience and provide appropriate service recovery when required.
Gather and document guest feedback on Front Office services and share relevant feedback for continuous improvement.
Provide suggestions and ideas to improve Front Office processes and enhance the overall guest experience.
Comply with data protection, guest registration, security, credit and cash-handling procedures.
Monitor lobby activities and promptly report any suspicious persons, items or activities to the relevant department.
Assist in the execution of
emergency response, service recovery and recovery procedures
when required.
