Role Purpose
You will manage and improve administrative processes, with a focus on digitalizing workflows, reducing manual work and ensuring that requests are completed accurately and on time. The role covers two main areas: improving internal work processes using Microsoft 365 and Power Platform tools and supporting procurement and contract administration for corporate goods and services. You will also provide operational and secretariat support for key organizational events.
Key Responsibilities
• Review existing administrative processes, identify gaps and implement practical improvements to reduce manual work and improve turnaround time.
• Develop and enhance digital workflows, forms and applications using tools such as SharePoint, Power Automate and Power Apps.
• Manage internal and external nominations, including calls for nominations, submissions, approvals, follow-ups, record-keeping and reporting.
• Coordinate procurement and tender exercises for corporate goods and services, including drafting specifications and procurement papers, liaising with vendors, supporting evaluations and obtaining the necessary approvals.
• Monitor contracts and recurring services, including renewal timelines, vendor deliverables and supporting documentation.
• Manage the procurement and inventory of corporate items, including stock records, issuance, replenishment and special requests.
• Provide secretariat and operational support for major organisational events and conferences, including coordinating nominations, records, timelines and follow-up actions.
• Develop and maintain SOPs, templates, trackers and process documentation to support consistent service delivery and compliance with organisational policies.
• Work with internal departments, vendors and other stakeholders to resolve operational issues and complete assigned projects.
• Perform other duties assigned by the supervisor to support the department and organisation.
Job Requirements
• A recognized degree. Fresh graduates may apply; candidates with two to three years of relevant experience will have an advantage.
• Interest or experience in process improvement, workflow automation, procurement, corporate services or project coordination.
• Some familiarity with Microsoft 365 and tools such as SharePoint, Power Automate, Power Apps or Power BI is preferred. Training can be provided, but the successful candidate must be able to learn and apply new digital tools independently and quickly.
• Able to understand an operational requirement and translate it into a practical workflow, tracker, form or automated process.
• Strong organizational skills, with the ability to manage multiple timelines and follow through on operational details.
• Able to draft clear specifications, papers, records and stakeholder communications.
• Comfortable working with different departments and external vendors to resolve issues and move work forward.
• Systematic and hands-on, with a willingness to examine how work is currently done and implement improvements that work in practice.
