What you’ll do

• Coordinate high-volume interview scheduling across time zones for lateral and campus hiring, keeping complex processes moving with accuracy and urgency
• Serve as the primary point of contact for candidates, hiring managers, and search partners throughout interview logistics and real-time schedule changes
• Deliver a polished candidate experience through clear communication, thoughtful preparation, and timely follow-up at each stage of the recruiting process
• Own data integrity in the applicant tracking system, ensuring candidate records, interview activity, statuses, and feedback are complete and current
• Build recruiting reports and dashboards that track time-to-hire, pipeline conversion, offer acceptance, and interviewer capacity across hiring activity
• Identify workflow bottlenecks and implement practical improvements that reduce coordination time while preserving a high-quality candidate and stakeholder experience
• Develop templates, process documentation, and lightweight automations that make recurring recruiting activities more consistent and efficient
• Support campus recruiting and early-career initiatives in Hong Kong, including university engagement, events, and interview coordination
• Partner with the recruiting team to prepare hiring updates, surface process insights, and support data-informed recruiting decisions

What’s required

• At least two years of experience in a fast-paced environment requiring coordination, prioritization, problem-solving, and strong attention to detail
• Experience managing complex schedules, competing priorities, and real-time changes across multiple stakeholders and time zones
• Comfort working with structured data, spreadsheets, reporting, internal tools, and recruiting-related metrics
• Experience maintaining accurate information in an applicant tracking system or comparable candidate, workflow, or operational database
• Proficiency with Microsoft Office, including spreadsheet management, document preparation, calendar coordination, and professional email communication
• Technical aptitude; comfort with SQL or business intelligence workflows is a plus
• Strong written and verbal communication skills, with the ability to represent the recruiting team professionally to candidates and internal stakeholders
• Ability to handle confidential information with discretion, sound judgment, and professional maturity
• Strong organizational skills and ownership mindset, with the ability to follow through on details in a high-volume recruiting environment
