Operations/Property Management

Oversee and coordinate the daily operations of the property department, ensuring that all administrative tasks are performed accurately and efficiently.
Space Management
-
Coordinate the layout and maintenance of office and outlet spaces, ensuring that they meet company standards and are optimized for functionality.
Lease Management
-
Monitor property leases and other operating & finance leases, ensuring timely renewal discussions are conducted according to the company's established schedule.
Vendor Management
-
Source contractors and vendors for facilities maintenance and operations, ensuring that services are provided efficiently and cost-effectively.
Tenant & Landlord Relations
-
Attend to tenant inquiries, service requests, and complaints, ensuring timely and satisfactory resolution within company timelines.
Inspections
-
Conduct or coordinate joint inspections between the operations fit-out team and tenants prior to handover and takeover.
Work Orders
-
Prepare work orders and attend to complaints from tenants or landlords.
Team Management
-
Effectively assign tasks and responsibilities to team members to optimize productivity and maximize efficiency.
Other Duties

Undertake any other relevant duties as requested.
Key Responsibilities (Personal Assistant)1. Executive & Administrative Support

Manage and maintain the Managing Director's calendar, including scheduling meetings, appointments, and events.

Screen calls, emails, and correspondence; respond or redirect as appropriate.

Arrange travel, accommodation, and itineraries (business and personal).
-
Maintain confidential records, documents, and files.
2. Personal & Household Management
-
Coordinate and manage medical appointments, health screenings, and specialist consultations for the Managing Director and family members, including scheduling, reminders, follow-ups, and maintaining organized and confidential medical records.

Oversee the maintenance of the MD's private residence(s). Coordinate with contractors, utilities, plumbers, and security firms for repairs and upgrades.

Coordinate household operations (e.g., liaise with domestic staff, drivers, and maintenance vendors).
-
Manage bill payments, subscriptions, and personal expenses.
-
Assist in organizing family events, holidays, and personal engagements.
-
Handle purchases (gifts, personal items, etc.).
-
Ensure the smooth running of the Managing Director's residence(s).
3. Communication & Coordination
-
Act as a key liaison between the Managing Director and internal/external stakeholders or maintenance vendors.

Coordinate with business partners, clients, and vendors professionally.

Manage both professional and personal communications with discretion.
-
Handle sensitive and confidential information with integrity.
4. Task & Project Management
-
Track deadlines, commitments, and priorities for the Managing Director.

Follow up on pending matters (business and personal).
-
Assist in managing small personal matters.
-
Anticipate needs and proactively provide solutions.
5. Travel & Lifestyle Support
-
Arrange detailed travel itineraries (flights, transport, hotel bookings, visas if required).

Manage last-minute changes or urgent requests.

Assist with lifestyle arrangements such as reservations, memberships, and events.
6. Personal Property & Real Estate Management
-
Oversee maintenance and upkeep of all personal properties owned by the Managing Director (residential, investment, or commercial units).

Coordinate with contractors, property managers, agents, and service providers for repairs, renovations, and periodic maintenance.

Monitor property-related expenses, including utilities, maintenance fees, taxes, and insurance payments.

Maintain proper documentation of property records, agreements, and compliance matters.
7. Rental Property Administration

Manage rental properties, including tenant coordination and communication.

Liaise with property agents on leasing, renewals, and tenant sourcing.

Monitor rental agreements, payment schedules, and tenancy terms.

Track rental income and ensure timely collection of payments.

Handle tenant inquiries, issues, and maintenance requests.
8. Property Sales & Acquisition Support

Assist in the purchase or sale of properties, including coordination with real estate agents, lawyers, and financial institutions.

Prepare and organize documentation for transactions (e.g., SPA, loan documents, agreements).

Conduct basic market research and gather property-related information when required.

Monitor the progress of transactions and ensure timelines are met.

Coordinate property viewing appointments and negotiations (if required).
9. Personal Financial & Income Tax Management

Assist in the preparation and coordination of the Managing Director's personal income tax matters.

Liaise with tax agents, accountants, and relevant authorities to ensure accurate and timely tax filings.
-
Compile and organize financial documents, including income records, receipts, and supporting documents for tax submission.
-
Track tax deadlines, payments, and ensure compliance with local regulations.
-
Monitor personal financial obligations such as insurance, investments, and statutory contributions (if applicable).

Maintain confidentiality of all financial and tax-related information.
