  • Proven ability to coordinate across internal teams (operations, finance, procurement) and manage client communications effectively.

  • Strong analytical and organizational skills, with attention to detail in documentation and costing.

  • Proficiency in Microsoft Office; familiarity with proposal templates and document management systems.

  • Good communication skills for preparing proposals, quotations, and interacting with clients.

  • Experience in facilities management or service-related industries is an added advantage.

JOB SUMMARY (A general overview of the job)

The Business Development Bid Executive supports the Business Development team by managing contract renewals, preparing tender submissions, and coordinating client requests. The role works closely with operations, finance, and procurement to make sure all proposals are accurate, practical, and submitted on time.

A key part of the job is maintaining clear communication with clients, understanding their needs, and helping ensure smooth follow-through on contract renewal process, quotations, and any ad-hoc requirements. The role also assists in organizing tender documents, gathering information from internal teams, and keeping our records and submissions well-structured.

 

JOB SCOPE

  • Lead and manage contract renewal processes, reviewing service scopes, coordinating with internal teams, and preparing updated quotations to ensure renewals are completed accurately and on time.

  • Support new tender submissions, including preparation of documentation, costing, and proposals in collaboration with operations, finance, HR and procurement teams.

  • Coordinate ad-hoc client requests, gathering requirements, preparing quotations, and liaising with internal teams to ensure accurate and timely responses.

  • Maintain and organize documentation for contracts, tenders, and quotations, ensuring internal teams have access to up-to-date information and supporting smooth workflow coordination.

  • Build and maintain proactive communication with clients, ensuring their requirements are understood, queries are addressed, and service continuity is maintained.

  • Assist in identifying potential business opportunities from client interactions and tender participation, supporting the growth of revenue streams.

 

PRIMARY RESPONSIBILITIES (The main duties and responsibilities of the role (List in order of importance and list amount of time spent on task)

 1. Contract Renewal Management (40%)

  • Review existing scope of work, service delivery, SLA/KPI and costing to ensure accuracy and alignment with client requirements.

  • Collaborate closely with operations, finance, HR and procurement teams to prepare updated renewal costing and proposals.

  • Draft and submit renewal quotations while managing proactive communication with clients.

  • Follow up with clients to facilitate renewals before expiry wherever possible.

  • To liaise with Legal team for the draft Service Agreement preparation review and signatory process.

  • Maintain clear records of all contract renewals to ensure smooth execution and timely reporting.

 

 2.  New Tender Preparation & Submission (25%)

  • To review and submit RFI/ Vendor Registration/ Questionnaire Form prior entering RFP stage.

  • To attend site visit and data consolidation.

  • Collaborate with internal teams to gather accurate information, pricing, and supporting documents.

  • Track tender schedules, clarifications, and addendums to ensure nothing is missed for the tender submission.

  • Prepare and submit tender documents, proposals, and other requirements according to client specifications and timelines.

  • To liaise with Legal team for the draft Service Agreement preparation review and signatory process.

 

    3. Proposal Design & Solution Planning (15%)

  • To analyze industry trends, competitor activities and market benchmarking in order to provide the right solution for the right client.

  • Develop proposals that are tailored to client requirements and aligned with service offerings.

  • Review costing and structure to ensure proposals are clear, competitive, and professional.

  • Contribute to the ongoing improvement of proposal templates and company profiles for consistency and effectiveness.

 

  4.  Ad-Hoc Client/ Operation Requests & Quotations (15%)

  • Handle urgent or one-off client requests for services or quotations.

  • Coordinate with relevant departments to ensure accurate costing and timely responses.

  • Prepare and submit ad-hoc quotations with proper approvals, keeping clients informed.

 

     5.  Documentation & Internal Coordination (5%)

  • Keep an organized database of tenders, quotations, and contract documents.

  • Support smooth internal communication and workflows to help teams work efficiently.

  • Assist the BD team with RFIs and other tender-related materials as needed.
