Responsibilities
JOB PURPOSE
To provide administrative and operational support to the Employee Transitions & Compliance team in managing teaching permit and work permit applications, employment contract administration, and new hire onboarding processes. The intern will assist in ensuring timely, accurate, and compliant execution of employee transitions activities while maintaining high standards of data integrity and service excellence.
KEY RESULT AREAS / RESPONSIBILITIES
Assist in preparing, compiling, and reviewing documentation required for teaching permit and work permit applications and renewals.
Support submission and tracking of permit applications with relevant government authorities and regulatory bodies.
Maintain organized and confidential employee immigration and permit records.
Provide support to follow up on application status updates.
Assist with the preparation of employment contracts, contract amendments, and related employment documentation using approved templates.
Assist with stamping processes in accordance with company and statutory requirements.
Ensure proper filing, record keeping, and document management of signed contracts.
Verify completeness and accuracy of employee documentation before onboarding.
Support onboarding activities for new employees, including document collection and verification.
Coordinate pre-employment requirements and onboarding checklists.
Facilitate communication with new hires regarding onboarding documentation and joining requirements.
Support induction and orientation logistics as required.
Assist with the update of reports and trackers related to permit status, onboarding progress, and contract administration.
Ensure compliance with data privacy, confidentiality, and record retention requirements.
Identify discrepancies in employee records and escalate issues when necessary.
Provide administrative support for HR operational activities and projects.
Support process improvement initiatives and documentation updates.
Assist with document compilation for audits.
Perform other duties and ad hoc assignments as delegated by the HR Operations team.
JOB SPECIFICATIONS
Qualification
· Preferably possess at least a Degree from a recognized institution in the field relevant to the appointment.
Related Experience
· No prior work experience required.
· Previous internship or administrative experience will be an advantage.
KEY COMPETENCIES
· Good knowledge of HR practices, processes, procedures and documentation.
· Good knowledge of relevant legislation pertaining to HR related matter.
· Excellent knowledge in using Ms Excel, Ms Word and Ms PowerPoint.
· Time management skills including the ability to plan and organize one’s own work.
· Maintain confidentiality information and meticulous.
· Self-motivated, proactive and team player.
· Good Interpersonal & communication skills
· Ability to complete routine tasks with minimum supervision.
