Job Description

Responsibilities

About the Role

We are looking for a hands-on Ocean Freight Executive to manage daily sea freight operations. You will be responsible for coordinating shipments, handling documentation, liaising with carriers and co-loaders, and ensuring smooth end-to-end execution for both import and export shipments.

This role is based in Singapore and supports a growing logistics operation with regional trade lanes.

Key Responsibilities

Operations & Coordination

  • Manage full-cycle ocean freight operations (import & export) for FCL and LCL shipments.

  • Coordinate with shipping lines, co-loaders, and trucking companies to secure space and schedule pick-ups and deliveries.

  • Track shipment status and provide timely updates to customers and internal stakeholders.

  • Handle shipment-related issues, including delays, damages, and documentation discrepancies.

Documentation & Compliance

  • Prepare and process shipping documents including Bill of Lading (B/L), Sea Waybill, Permit declarations, and Certificate of Origin (COO).

  • Ensure compliance with Singapore Customs regulations and other relevant trade requirements.

  • Verify vendor invoices and assist with cost reconciliation.

Customer & Stakeholder Management

  • Liaise with customers, overseas agents, and internal teams (sales, finance, warehouse) to ensure smooth shipment execution.

  • Respond to customer inquiries and provide proactive shipment updates.

Reporting & Administration

  • Maintain accurate shipment records in the company's operating system.

  • Support month-end closing activities related to ocean freight billing and documentation.

Requirements

  • Diploma in Logistics, Supply Chain Management, or related field.

  • Minimum 2–3 years of experience in ocean freight operations (import/export).

  • Familiarity with FCL and LCL processes, permit declarations, and shipping documentation.

  • Experience with shipping lines, co-loaders, and local trucking coordination.

  • Proficient in Microsoft Office (Excel, Word).

  • Good communication skills and ability to work independently.
