We’re looking for a meticulous Office Administrator to join our Malaysia office as we continue growing across Southeast Asia. This role is perfect for someone with sharp organization skills and a knack for communication and coordination.

What you'll be doing:

General Administration

• Perform general administrative duties, including organizing, preparing, filing, and maintaining company documents, records, and databases accurately and systematically.
• Handle data entry and ensure proper record keeping of company information.
• Answer and manage incoming telephone calls, emails, and general enquiries in a professional and timely manner.
• Handle incoming and outgoing mails, courier services, and deliveries.
• Provide administrative support to internal departments and the Management as required.
• Assist in scheduling meetings, booking meeting rooms, and coordinating appointments.

Office & Facilities Management

• Manage office supplies, including stationery, pantry items, washroom supplies, and other office consumables.
• Monitor inventory levels and place replenishment orders in a timely manner.
• Ensure the pantry is well-stocked, clean, and organized at all times.
• Maintain a clean, tidy, and well-organized office environment, including common areas and meeting rooms.
• Coordinate with cleaning service providers and monitor the quality of housekeeping services.
• Arrange regular maintenance and servicing of office equipments and facilities.
• Liaise with the landlord and building management on maintenance, repairs, access cards, season parking, and other facility-related matters.
• Coordinate with external vendors and service providers for office maintenance and operational requirements.
• Follow up on office-related issues and ensure timely resolution.

Employee Administrative Support

• Coordinate the onboarding process for new employees, including laptop setup, workstation preparation, season parking application, building access/facial recognition registration, and other administrative arrangements to ensure a smooth onboarding experience.
• Coordinate employee offboarding by arranging the return of company assets, cancellation of season parking, building access, and other administrative matters.
• Maintain and update employee administrative records as required.

Finance & Expense Administration

• Assist the Country Head in reviewing and verifying employees' monthly business expense reimbursement claims against original supporting receipts.
• Maintain records of office-related purchases and administrative expenses.

Event & Team Support

• Assist in planning, coordinating, and organizing company events, meetings, employee engagement activities, and celebrations.
• Provide on-site logistical and administrative support during company events, including venue setup, coordination, and event execution.
• Coordinate catering, meeting refreshments, and other event-related arrangements when required.

Other Responsibilities

·      Perform any other duties as assigned by the Management team or immediate superior.

Requirements:

·      Diploma in Business Administration or related discipline.

·      Minimum 2 years of administrative and/or office support experience.

·      Strong organizational and coordination skills.

·      Ability to multitask and work effectively in a fast-paced environment.

·      Good communication and interpersonal skills.

·      Proficient in Microsoft Office Applications (Word, Excel, PowerPoint).

·      Responsible, meticulous, and a good team player.
