Responsibilities
We are seeking an Admin & Logistics Assistant to join our growing team. This role is heavily focused on logistics coordination and operational support for our surveying projects. You will be responsible for ensuring surveying equipment, tools, and field personnel are properly coordinated and deployed to project sites on schedule.
The successful candidate should be organized, resourceful, and comfortable working in a fast-paced environment where priorities may change daily. Experience in construction, engineering, logistics, or site operations is highly advantageous. Training will be provided for candidates who are keen to learn about the land surveying industry.
Candidates who possess a valid motorcycle licence will have an added advantage, as occasional travel may be required to support urgent operational needs.
Logistics & Operations
Coordinate the daily movement, deployment, and return of surveying equipment, tools, and materials between the office and project sites.
Support the planning and scheduling of field crews, equipment allocation, and transportation arrangements.
Maintain accurate records of equipment issuance, returns, transfers, and inventory levels.
Conduct routine inventory checks to ensure all surveying equipment is accounted for and in good working condition.
Liaise with project teams to ensure operational requirements are met in a timely manner.
Coordinate with suppliers, contractors, and service providers for deliveries, equipment servicing, and procurement matters.
Assist the Operations Manager in managing daily field operations and resolving logistics-related issues.
Monitor stock levels of office supplies, surveying consumables, and equipment accessories, and arrange replenishment when required.
Ensure proper handling, storage, and tracking of high-value surveying instruments.
Support urgent and ad hoc logistics requirements to ensure uninterrupted project operations.
Administration
Perform general administrative duties, including data entry, filing, and maintaining records.
Prepare delivery orders, purchase requests, inventory reports, and other operational documents.
Answer and direct incoming calls and respond to general enquiries professionally.
Maintain organized and confidential office and project documentation.
Provide administrative support to the Operations Manager and Administration team.
Perform any other duties assigned by Management.
Experience in logistics, operations, construction, engineering, or related industries is preferred.
Previous experience supporting site operations or managing equipment logistics is an advantage.
Familiarity with inventory management and stock control processes.
Proficient in Google Workspace (Google Sheets, Docs, Gmail, Drive, and Calendar).
Strong organizational, communication, and time management skills.
Able to work independently and collaborate effectively with office and field teams.
Possession of a valid motorcycle license is an added advantage.
Positive attitude, willingness to learn, and ability to adapt to changing operational needs.
