Roles & Responsibilities
1. HR Administration
- Serve as the first point of contact for HR-related enquiries.
- Prepare and administer HR documentation, including employment contracts, confirmation letters, transfer letters, warning letters, resignation acceptance letters, and other employee-related documents.
- Maintain accurate and up-to-date employee records and HR databases in compliance with company policies and statutory requirements.
- Process employee lifecycle activities, including new hires, confirmations, transfers, resignations, and terminations.
- Maintain leave, attendance, medical, training, and personnel records.
- Ensure proper filing and safekeeping of confidential HR documents.
2. Employee Mobility & Travel Administration
- Coordinate employee movements across project sites, including offshore and remote locations.
- Manage mobilization and demobilization arrangements for employees.
- Coordinate flight bookings, accommodation, transportation, and travel logistics.
- Liaise with project teams and employees to ensure timely travel arrangements.
- Monitor travel documentation and ensure compliance with company policies.
3. Expatriate & Immigration Administration
- Coordinate work permits, employment passes, visas, and immigration documentation.
- Liaise with government authorities and appointed immigration agents.
- Monitor permit validity and ensure timely renewals.
- Maintain accurate records for expatriates and foreign employees.
4. Compliance & Documentation
- Maintain accurate HR records and ensure compliance with company policies and labour regulations.
- Prepare HR reports, employee records, letters, and statutory documentation.
- Support internal and external audits by maintaining proper HR documentation.
- Ensure all employee information is updated, complete, and confidential.
5. Employee Engagement & Welfare
- Coordinate employee engagement activities and company events.
- Support employee onboarding, relocation, accommodation, and welfare arrangements.
- Assist in communicating HR policies, company announcements, and employee programmes.
- Respond to employee enquiries and coordinate with relevant departments to resolve HR administrative matters.
6. Office & General Administration
- Provide administrative support to the HR Department and Management.
- Coordinate office administrative matters, including stationery, office supplies, and general facilities administration.
- Liaise with external vendors, travel agencies, accommodation providers, and other service providers.
- Prepare meeting arrangements, maintain departmental filing systems, and support general administrative activities.
- Perform any other HR and administrative duties assigned by Management.
Qualifications & Experience
- Bachelor's Degree or Diploma in Human Resource Management, Business Administration, or a related field.
- Minimum 2–4 years of experience in Human Resources or Administration.
- Experience in employee administration, documentation, mobility, or expatriate administration is an added advantage.
- Good knowledge of Malaysian Employment Act and HR administrative practices.
- Proficient in Microsoft Office applications and HR Information Systems (HRIS).

Job Type: Full-time
Pay: RM2,800.00 - RM3,500.00 per month
