Job Summary
The Site Administrator is responsible for providing administrative and document control support to ensure the smooth day-to-day operations of the project site. The role involves managing project documentation, coordinating communication between the site team and head office, maintaining records, and ensuring compliance with TNB project requirements and company procedures.
Key Responsibilities
- Provide general administrative support to the project site team.
- Prepare, organize, and maintain project documentation, correspondence, and filing systems.
- Manage incoming and outgoing documents in accordance with project document control procedures.
- Maintain accurate records of site personnel attendance, leave, and timesheets.
- Coordinate onboarding documentation for site workers, subcontractors, and visitors.
- Assist in preparing reports, meeting minutes, progress updates, and project correspondence.
- Monitor and maintain records of site equipment, materials, and office supplies.
- Coordinate logistics for meetings, site visits, and inspections.
- Liaise with the head office, clients, subcontractors, suppliers, and relevant authorities on administrative matters.
- Ensure all project documents comply with TNB requirements and company quality management procedures.
- Support the Project Manager with administrative tasks related to project execution.
- Maintain confidentiality of project information and company records.
- Perform other administrative duties assigned by the Project Manager or Site Manager.
Qualifications
- Diploma or Bachelor's Degree in Business Administration, Office Management, or a related field.
- Minimum 2 years of administrative experience, preferably in construction, engineering, utility, or infrastructure projects.
- Experience working on TNB or utility-related projects is an added advantage.
Skills and Competencies
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Good document management and filing skills.
- Strong organizational and time management abilities.
- Excellent verbal and written communication skills in English and Bahasa Malaysia.
- Ability to work independently and manage multiple tasks simultaneously.
- Attention to detail and accuracy in documentation.
- Knowledge of document control systems is an advantage.
- Familiarity with construction site administration and project documentation processes.
Working Conditions
- Based at the project site.
- May be required to work extended hours when necessary to meet project deadlines.
- Occasional travel to head office, client offices, or other project locations may be required.
Pay: RM2,000.00 - RM2,500.00 per month
