The Administrative Assistant / Admin Coordinator plays a key role in ensuring smooth day-to-day office, logistics, and showroom operations for BUZUD. This position provides clerical and administrative support to management, liaises with suppliers and logistics partners, coordinates product inventory, and assists internal teams (Sales, Technical Support, Care Operations) to deliver a seamless healthcare customer experience.
Key Responsibilities
1. General Administrative & Office Operations
- Office Maintenance: Support daily office functions, manage front-desk communications (phone calls, emails, mail handling), and schedule meetings or internal appointments.
- Document Management: Prepare, review, and organize company files, official correspondence, and administrative documentation, ensuring high linguistic and grammatical accuracy prior to submission to management or regulatory authorities.
- Office Supplies & Inventory: Monitor and maintain inventory levels of office supplies, printed materials, and showroom consumables; anticipate operational needs and place replenishment orders.
- Equipment Maintenance: Maintain administrative equipment inventories, coordinate maintenance/repairs with vendor service providers, and assist in evaluating new equipment when required.
2. Care Coordination & Product Logistics
- Logistics & Supplier Coordination: Liaise with factories, freight forwarders, and logistics providers to coordinate product delivery, customs clearance, and inventory shipments into Singapore warehouses and showrooms.
- Healthcare & Care Coordination: Coordinate rental units (e.g., oxygen concentrators, continuous glucose monitoring (CGM) systems), arrangement of delivery confirmations, and collection schedules with hospitals, care institutions, and next-of-kin.
- Data Processing: Compile simple operational data, process customer orders, record warranty/return requests, and maintain updated customer records in the CRM system.
3. Showroom & Team Support
- Internal Liaison: Work closely with Sales, Operations, and Technical Support teams to resolve operational and customer service bottlenecks efficiently.
- Ad-Hoc Support: Handle POS transaction logging (cash/cashless), generate basic operational reports, and assist in special corporate administrative projects assigned by management.
Requirements & Qualifications
- Education: N/O/A Levels, NITEC, Higher NITEC, or Diploma in Business Administration, Healthcare Management, Logistics, or any related field.
- Experience: 1 to 3 years of administrative, secretarial, or operations support experience. (Prior experience in healthcare, medical device environments, consumer electronics, or wellness retail is a plus).
- Software Proficiency: Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat.
- Communication Skills: Excellent written and verbal communication in English; fluency in a second language (e.g., Mandarin) is beneficial for customer and vendor interactions.
- Technical Savviness: Basic comfort level navigating digital platforms, CRM systems, and health-tech concepts.
Pay: $2,000.00 - $2,500.00 per month
