About the Role
We are looking for a proactive and detail-oriented Logistics Administrator to support export, import, and shipping operations within a regulated manufacturing environment.
This role is responsible for ensuring accurate and timely shipping documentation, coordinating transportation activities, managing SAP transactions, and supporting compliance with customs, quality, and regulatory requirements.
The successful candidate will play a key role in ensuring smooth logistics operations while driving continuous process improvements and delivering excellent customer service.
What You'll Do
- Prepare and process shipping documentation accurately and on time to meet customer and regulatory requirements.
- Coordinate export and import shipments, including flight, vessel, and container bookings.
- Liaise with freight forwarders, transport providers, customs authorities, government agencies, and customers to ensure smooth shipment execution.
- Monitor shipment status and provide timely updates and shipping notifications to customers.
- Investigate and resolve customer complaints, shipping discrepancies, and logistics-related issues.
- Verify freight and logistics invoices and coordinate payment processing with Finance.
- Perform SAP transactions related to export shipments, import materials, and external sterilization activities.
- Support product recalls, inventory segregation, and related system transactions.
- Maintain shipping records, SOPs, audit documentation, and document control systems such as QDMS.
- Act as the main point of contact for internal and external audits related to logistics and shipping documentation.
- Collaborate closely with Planning, Purchasing, Warehouse, and Customer Service teams on shipment planning and delivery schedules.
- Prepare and maintain monthly logistics and warehouse reports.
- Identify opportunities for cost savings and process improvements in transportation, freight handling, and warehouse administration.
- Drive continuous improvement initiatives while ensuring compliance with GMP, SOX, customs regulations, and quality standards.
- Support workplace safety and environmental sustainability initiatives.
Job Requirements
- Diploma in Logistics, Supply Chain Management, or a related discipline.
- Minimum 3 to 5 years of relevant experience in logistics, shipping, import/export, or supply chain operations.
- Hands-on experience with SAP is required.
- Proficient in Microsoft Excel and other spreadsheet applications.
- Good understanding of import/export documentation and customs regulations.
- Experience coordinating with freight forwarders, transport providers, and external stakeholders.
- Strong attention to detail with the ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and coordination skills.
- Experience working in a manufacturing, warehouse, or regulated environment is an advantage.
- Knowledge of GMP, quality systems, or audit requirements will be beneficial.
