Position Summary
The Office Services Administrator is responsible for the day-to-day administration and facilities management of the office, ensuring a well-run, safe, and professional working environment. This role acts as the main liaison with building management, vendors, and contractors, while also providing broader administrative support across procurement, records, and office operations. It is a facilities- and operations-oriented role, distinct from front-desk/reception duties, though close coordination with reception and general administration is expected.
Key Responsibilities
Office Administration & Facilities Management (Core Focus)
- Manage all general office administration and facilities matters, ensuring the office is well-maintained and fit for purpose.
- Act as the main liaison with building management, vendors, and contractors for the upkeep and maintenance of the office.
- Maintain records of maintenance contracts, service agreements, and coordinate renewals in a timely manner.
- Manage office equipment (printers, copiers, shredders, etc.), arranging repair or support services as needed.
- Monitor pantry supplies, stationery, and general office resources, ensuring adequate stock levels at all times.
- Coordinate office space planning, seating arrangements, and minor office moves/setups.
Procurement & Vendor Management
- Raise and track purchase orders for office supplies, equipment, and services.
- Source and evaluate vendors/suppliers to ensure cost-effective and reliable service delivery.
- Maintain vendor records and support invoice processing/verification with Finance.
Records, Compliance & Support
- Maintain accurate administrative records, filing systems, and documentation in line with company SOPs.
- Support internal audits and ensure office practices comply with relevant health, safety, and security requirements.
- Coordinate access cards, security passes, and new joiner/leaver office arrangements.
- Provide administrative support for internal events, meetings, and staff activities as required.
Cross-Functional Coordination
- Work closely with Reception, HR, and Finance to ensure smooth day-to-day office operations.
- Support other departments with ad hoc administrative and logistical requests.
- Provide backup support for reception/front-desk duties when required.
Key Requirements
- Diploma or Degree in Business Administration, Facilities Management, or a related field.
- 2–4 years of experience in office administration, facilities coordination, or a similar operations support role.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook); familiarity with procurement/vendor management systems an advantage.
- Strong organisational and vendor-management skills, with the ability to manage multiple ongoing contracts and tasks.
- Good written and verbal communication skills in English and Bahasa Malaysia; additional languages an advantage.
Pay: Up to RM5,500.00 per month
