Responsibilities
Primary Responsibilities
We are seeking a dedicated and detail-oriented Assistant, People Operations to provide day-to-day administrative and operational support to the People Operations Division. The role will primarily focus on HR administration, employee documentation, records management, onboarding and offboarding, and general HR coordination , while providing recruitment support as and when required.
The role will contribute to the smooth and efficient delivery of People Operations while ensuring accurate documentation, confidentiality, and compliance with Company policies and statutory requirements.
Areas of Responsibilities
HR Administration
Coordinate and manage interview scheduling with senior management, including candidate communications and invitation issuance.
Maintain accurate and up-to-date employee records, both physical and digital
Prepare documents such as employment contracts, letters (confirmation, promotion, resignation, warning, etc.)
Support onboarding and offboarding processes, including document collection and system updates
Manage filing, documentation, and confidentiality of HR records
Manage end-to-end inventory and coordination of uniforms, aprons, company passes, and staff IDs, including issuance, tracking, and returns.
Oversee access card administration and office mail management, including issuance, tracking, returns and record updates.
Perform other ad-hoc duties or special projects as assigned.
Recruitment Support
Support the end-to-end recruitment process, including job postings, resume screening, interview coordination, salary proposals, and job offers.
Assist with manpower requirements and candidate sourcing as required.
Coordinate with recruitment agencies and candidates when necessary.
Support new hire onboarding, including document collection, HR system updates, and orientation.
Assist with the preparation and issuance of employment-related letters and documentation.
Support employee relations, HR policy enquiries, and performance management matters where required.
Assist in maintaining employee records, organisational charts, headcount movements, and recruitment reports.
Keep updated on relevant HR practices and employment regulations.
Provide additional recruitment and HR support as required based on business needs.
Requirements
Diploma in Human Resources, Business Administration, or a related field
1-2 years of experience in HR, People Operations, or administrative support is preferred
Experience with InfoTech system, Excel, and record-keeping is an advantage
Basic knowledge of employment regulations and HR best practices
Strong organisational and time-management skills, with attention to detail
An innovative team player, self-motivated, pro-active, independent and meticulous
Ability to hand confidential information with discretion
Good written and verbal communication skills
Professional and approachable, able to liaise effectively with staff at all levels
