Admin Executive
Experience Required
- Minimum 3 years of administrative experience, preferably in the Food & Beverage (F&B) industry.
- Experience supporting multi-outlet operations and coordinating with various departments is an advantage.
Key Responsibilities
Office Administration
- Manage the day-to-day administrative operations of the Head Office and ensure smooth office functioning.
- Maintain and organize office filing systems, records, contracts, and confidential documents.
- Monitor office supplies, stationery, and equipment, and coordinate procurement when necessary.
- Coordinate office maintenance, repairs, and vendor services.
Administrative Support
- Provide administrative support to Management and all departments.
- Prepare reports, presentations, meeting minutes, correspondence, and official documents.
- Manage calendars, appointments, travel arrangements, and meeting schedules for Management.
- Coordinate internal meetings, events, and company activities.
Documentation & Record Management
- Maintain accurate employee, company, supplier, tenancy, and operational records.
- Ensure all company licenses, permits, contracts, and insurance documents are updated and properly filed.
- Monitor document expiry dates and coordinate timely renewals.
Procurement & Vendor Coordination
- Coordinate office purchases and monitor administrative expenses.
- Liaise with suppliers, contractors, landlords, and service providers.
- Obtain quotations, compare prices, and prepare purchase requests for approval.
- Monitor vendor performance and service quality.
Operations Support
- Support restaurant operations by coordinating administrative requirements between Head Office and outlets.
- Assist with outlet openings, renovations, maintenance coordination, and operational documentation.
- Ensure standard administrative procedures are implemented across all outlets.
Asset & Inventory Management
- Maintain records of company assets, office equipment, and administrative inventory.
- Coordinate asset issuance, maintenance, and disposal.
- Conduct periodic inventory checks and maintain accurate records.
Compliance & Administration
- Ensure compliance with company policies and administrative procedures.
- Assist in preparing documentation for audits, inspections, and regulatory requirements.
- Handle confidential information with professionalism and discretion.
Communication & Coordination
- Act as the primary point of contact for administrative matters.
- Coordinate with internal departments and external parties to ensure timely completion of administrative tasks.
- Respond to enquiries and resolve administrative issues efficiently.
Reporting
- Prepare weekly and monthly administrative reports for Management.
- Monitor administrative budgets and recommend cost-saving initiatives.
- Perform other administrative duties and special projects assigned by Management.
Requirements
- Diploma or Bachelor’s Degree in Business Administration, Office Management, or a related field.
- Minimum 3 years of administrative experience, preferably in the F&B industry.
- Strong organisational and multitasking skills.
- Excellent written and verbal communication skills in English and Bahasa Malaysia.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Ability to prioritise work, meet deadlines, and work independently.
- High level of accuracy, attention to detail, and confidentiality.
- Positive attitude with strong interpersonal and problem-solving skills.

Pay: RM1,800.00 - RM2,500.00 per month
