Job Overview
The Sales & Events Admin cum Coordinator supports the Sales & Marketing team in the day-to-day administration of sales activities and the coordination of meetings and events. This role acts as the key link between clients, the sales team, and operating departments planned in detail, and executed smoothly from enquiry to post-event follow-up.
Key Responsibilities
Sales Administration
- Handle incoming sales and event enquiries via phone, email, and walk-in, and respond promptly and professionally.
- Prepare quotations, proposals, contracts, and correspondence for individual and group sales, and for meetings and events.
- Maintain and update the client/account database (CRM) and sales filing system, including credit applications and signed contracts.
- Prepare monthly sales and events reports, forecasts, and production statistics for the Director of Sales.
- Coordinate the Director of Sales/Sales Managers’ schedules, client appointments, and site inspections.
- Process deposits and liaise with Finance/Credit on invoicing, billing, and collections for events accounts.
- Assist in preparing and updating sales collateral, rate sheets, and event packages.
Events Coordination
- Convert confirmed bookings and distribute to all operating departments in a timely manner.
- Liaise directly with clients to confirm event requirements: room set-up, audiovisual needs, catering, décor, and special requests.
- Conduct site inspections and pre-event briefings with clients and the operations team to confirm details ahead of each function.
- Coordinate logistics with Banquet, F&B, Kitchen, and Engineering teams to ensure all event requirements are executed as planned.
- Be present on-site during events where required to oversee set-up and execution, and resolve any issues on the spot.
- Follow up after each event for client feedback, billing reconciliation, and to support repeat business and referrals.
General
- Support the Sales & Events team in achieving monthly and annual revenue and conversion targets.
- Stay current on hotel facilities, room inventory, rates, event packages, and competitor offerings.
- Assist with marketing collateral, social media content, and promotional activities related to events as needed.
- Maintain professional relationships with vendors and external suppliers.
- Perform any other duties as assigned by the Director of Sales or Management.
Requirements
- Diploma or Degree in Hospitality Management, Business Administration, Marketing, or a related field.
- 3 years of experience in a hotel sales, events, or administrative coordination role; fresh graduates with strong administrative and communication skills may be considered.
- Tech-savvy and proficient in workplace productivity tools, including Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides, Drive). Comfortable learning and using new digital platforms, including AI-powered productivity tools. Experience with hotel systems is an advantage.
- Highly organised and detail-oriented, with the ability to manage multiple events and deadlines simultaneously.
- Customer-service oriented with a professional, pleasant telephone and email manner.
- Able to work flexible hours, including some evenings and weekends, to support event execution.
