The Marketing Executive will support the coordination and execution of marketing activities across the Group’s hotel, F&B and lifestyle brands.
This role serves as the coordination backbone of the marketing department. The ideal candidate must be highly organised, proactive and confident in following up with different stakeholders to ensure that campaigns, content, marketing requests and project timelines move forward as planned. The role requires someone who can manage multiple brands and assignments simultaneously while maintaining accurate documentation, clear communication and regular progress updates.
Key Responsibilities
1. Marketing Project Coordination
- Coordinate marketing campaigns, promotions, launches, events and seasonal initiatives across multiple brands.
- Maintain campaign timelines, project trackers, task lists and approval statuses.
- Follow up with internal departments, hotel teams, outlet teams, creative teams and external partners on outstanding requirements.
- Identify potential delays and communicate them to the Group Marketing Manager in advance.
- Ensure all assigned projects are completed accurately and within the agreed timeline.
- Track pending decisions, approvals, artwork requirements and campaign deliverables.
2. Marketing Request and Workflow Management
- Receive, organise and track marketing requests submitted by hotels, outlets and other departments.
- Ensure each request includes complete information, clear requirements and the necessary supporting materials.
- Prioritise requests according to urgency, campaign timelines and business requirements.
- Coordinate the movement of requests between marketing, creative, operations and relevant stakeholders.
- Update requesters regularly on the status of their projects.
- Maintain proper records of completed, pending and cancelled requests.
3. Campaign and Promotion Execution
- Support the planning and execution of marketing campaigns, promotions, product launches and brand initiatives.
- Prepare campaign briefs, timelines, checklists and supporting documents.
- Coordinate promotional mechanics, campaign details, terms and conditions and operational requirements.
- Work with relevant teams to ensure campaign information, pricing and promotional details are accurate.
- Assist with post-campaign reporting and performance summaries.
- Support on-ground activations, events, outlet launches and promotional activities when required.
4. Social Media and Content Coordination
- Support the development and maintenance of monthly social media content calendars.
- Coordinate content requirements, captions, visuals, approvals and posting schedules.
- Follow up with hotels and outlet teams to obtain updated photos, videos, promotional information and operational details.
- Schedule or publish approved content across relevant social media platforms.
- Monitor posting progress and ensure content is published according to the approved calendar.
- Maintain proper records of published, pending and postponed content.
- Assist with social media captions, campaign copy and basic marketing communication.
5. Creative and Artwork Coordination
- Prepare clear and complete briefs for graphic designers, photographers, videographers and external vendors.
- Coordinate artwork requirements for posters, menus, banners, social media posts, brochures, digital screens and other marketing materials.
- Review artworks for spelling, pricing, dates, campaign details, brand consistency and overall accuracy.
- Manage artwork amendments and ensure feedback is consolidated before being shared with the creative team.
- Maintain organised folders containing approved artworks, working files, brand assets and final materials.
- Ensure only approved and updated materials are circulated to hotels, outlets and relevant stakeholders.
6. Marketing Documentation and Reporting
- Maintain marketing trackers, campaign calendars, approval records and project documentation.
- Prepare weekly and monthly marketing status updates.
- Record meeting discussions, action items, deadlines and assigned responsibilities.
- Follow up on action items after meetings and update the relevant tracker.
- Assist with campaign reports, competitor findings, social media reports and marketing summaries.
- Ensure marketing files and records are properly organised and easily accessible.
- Maintain an updated overview of ongoing projects across all assigned brands.
7. Internal
- Liaise with hotel teams, outlet managers, operations, sales, revenue, F&B, IT, finance and other departments.
- Coordinate information required for campaigns, promotions, events and brand activities.
- Communicate marketing requirements clearly to all relevant parties.
- Provide timely progress updates to the Group Marketing Manager and stakeholders.
- Support cross-departmental projects that require marketing involvement.
- Maintain professional communication with vendors, agencies, media partners and external collaborators.
8. Partnership, Media and Collaboration Support
- Assist with coordination for brand partnerships, collaborations, sponsorships and joint promotions.
- Follow up with partners on campaign materials, timelines, requirements and deliverables.
- Maintain records of partnership discussions, agreed support and pending actions.
- Assist with media lists, media invitations, press materials and PR-related coordination.
- Support influencer, creator and media engagement where required.
- Track deliverables committed by both the Group and external partners.
9. Market and Competitor Research
- Conduct competitor research, market observations and on-ground surveys.
- Collect information on competitor pricing, promotions, customer experience, marketing activities and positioning.
- Prepare simple comparison reports and summaries for management review.
- Monitor relevant hospitality, F&B, lifestyle and social media trends.
- Identify potential campaign ideas, partnership opportunities and areas for improvement.
10. Administrative Support
- Assist with quotations, purchase requests, invoices, budget records and vendor documentation.
- Coordinate printing, production, delivery and installation of marketing materials.
- Maintain records of marketing expenses and supporting documents.
- Arrange meetings, photoshoots, site visits and other marketing activities.
- Perform other marketing, branding and coordination duties assigned by the Group Marketing Manager.
REQUIREMENTS
- Diploma or Bachelor’s Degree in Marketing, Mass Communication, Business Administration, Hospitality, Public Relations or a related field.
- At least 1–2 years of relevant experience in marketing, campaign coordination, hospitality, F&B or a related role.
- Fresh graduates with strong internship experience, excellent organisational skills and a suitable portfolio may be considered.
- Good written and spoken English and Bahasa Malaysia.
- Strong organisational, coordination and time-management skills.
- Strong attention to detail, particularly when reviewing campaign information and artworks.
- Able to manage multiple brands, assignments and deadlines simultaneously.
- Confident in following up with senior stakeholders, hotels, outlets and internal departments.
- Able to provide clear and proactive progress updates.
- Comfortable working independently and taking ownership of assigned tasks.
- Basic knowledge of social media platforms and digital marketing.
- Proficient in Microsoft Office, Google Workspace and online project-tracking tools.
- Familiarity with Canva or basic content editing is an advantage.
- Experience in hotels, hospitality, lifestyle or F&B brands is an added advantage.
- Willing to attend occasional photoshoots, events, site visits and on-ground activations.
