Job Summary

The Finance & HR Administrator is a dual-function role responsible for supporting day-to-day financial operations — including accounts payable/receivable, invoicing, and record-keeping — alongside core human resources administration such as employee records, recruitment support, and payroll coordination. This role suits a highly organized, detail-oriented individual comfortable managing both numbers and people processes in a small-to-mid-sized organization.

Key Responsibilities — Finance Administration • Process accounts payable and accounts receivable, including invoice issuance, payment tracking, and vendor reconciliation. • Prepare and submit invoices to clients/customers and follow up on outstanding payments. • Maintain accurate financial records, ledgers, and supporting documentation for audits. • Assist with monthly, quarterly, and annual financial reporting and reconciliations. • Manage petty cash, expense claims, and reimbursement processing. • Support budget tracking and flag variances to management. • Liaise with external accountants, auditors, or tax agents as required. • Maintain compliance with company finance policies and relevant statutory/tax requirements. Key Responsibilities — HR Administration • Maintain and update employee records (personal files, contracts, leave, attendance). • Coordinate recruitment activities: job postings, scheduling interviews, and onboarding new hires. • Prepare offer letters, employment contracts, and other HR documentation. • Administer payroll inputs (attendance, leave, claims) and coordinate with finance/payroll provider for accurate salary processing. • Manage employee benefits administration (insurance, leave entitlements, statutory contributions). • Support performance review cycles and maintain related documentation. • Ensure HR policies and procedures comply with local labor law and company standards. • Address basic employee queries related to HR and payroll matters, escalating as needed.

Qualifications & Experience • Diploma or Bachelor's degree in Finance, Accounting, Human Resources, Business Administration, or a related field. • 2–4 years of relevant experience in finance/accounting and/or HR administration; combined experience is a strong advantage. • Familiarity with accounting software (e.g., Xero, QuickBooks, SAP) and HRIS/payroll systems is preferred. • Working knowledge of local labor laws, statutory contributions, and basic tax/accounting principles.

Key Skills & Competencies • Strong attention to detail and accuracy in financial and personnel record-keeping. • Solid organizational and time-management skills; able to juggle competing deadlines. • Proficiency in Microsoft Excel and general office software. • Discretion and integrity in handling confidential financial and employee information. • Good interpersonal and communication skills. • Ability to work independently in a small-team or lean-admin environment.
