Job Summary
The Administration Manager is responsible for leading and overseeing the company's overall administration functions to ensure efficient, compliant, and cost-effective business operations across the Head Office and all branch locations. This role manages office administration, facilities, company assets, vendor relationships, government liaison, and branch support while driving continuous improvement and ensuring compliance with statutory and regulatory requirements.
Key Responsibilities
Administration & Operations
- Lead and oversee the day-to-day administration functions across the Head Office and branch operations.
- Develop, review, and implement administrative policies, procedures, and standard operating procedures (SOPs) to improve operational efficiency.
- Ensure administrative processes are aligned with company objectives and regulatory requirements.
- Provide administrative support to business units and management as required.
Office & Facility Management
- Oversee the maintenance, cleanliness, security, and functionality of all company offices and branch facilities.
- Conduct regular site visits to branches to assess facility conditions, housekeeping standards, staff amenities, safety compliance, and operational readiness.
- Coordinate office renovations, repairs, maintenance projects, and office relocations.
- Ensure office equipment and facilities are properly maintained and serviced.
Business Unit (BU) Administration
- Work closely with BU Managers to ensure all administrative matters are managed effectively.
- Monitor BU maintenance requests and ensure timely resolution.
- Conduct periodic BU audits to ensure compliance with company standards, policies, and procedures.
- Recommend improvements to enhance the overall working environment and operational efficiency at branch level.
Government Liaison & Regulatory Compliance
- Act as the primary liaison between the company and government authorities, local councils, and regulatory agencies.
- Manage applications, renewals, and compliance for business licences, permits, registrations, and statutory approvals.
- Liaise with relevant authorities including Local Councils (Majlis), BOMBA, DOSH, Ministry of Health (KKM), Department of Labour (JTK), Immigration, PERKESO, TNB, Air Selangor, and other regulatory bodies where applicable.
- Coordinate inspections, audits, and site visits by government agencies and ensure timely follow-up on any required actions.
- Monitor changes in government regulations and ensure the company remains fully compliant with all statutory and administrative requirements.
Vendor & Contract Management
- Source, evaluate, negotiate, and manage suppliers, contractors, and service providers.
- Administer service agreements and maintenance contracts to ensure quality service and cost efficiency.
- Monitor vendor performance and ensure contractual obligations are fulfilled.
- Review and renew contracts in a timely manner.
Asset & Inventory Management
- Manage company assets, including office equipment, furniture, and administrative resources.
- Ensure proper asset registration, tracking, maintenance, transfer, and disposal.
- Monitor office inventory and ensure adequate stock levels of office supplies and operational materials.
Company Vehicles & Travel Administration
- Oversee the management of company vehicles, including maintenance, insurance, road tax renewals, and fleet utilisation.
- Coordinate corporate travel arrangements, accommodation, and transportation for employees and management where required.
Leadership & People Management
- Lead, coach, and develop the Administration team to achieve departmental objectives.
- Set departmental KPIs, monitor performance, and conduct regular performance reviews.
- Identify training and development needs to enhance team capabilities.
- Foster a culture of accountability, teamwork, and continuous improvement.
Job Requirements
- Bachelor's Degree in Business Administration, Management, or a related discipline.
- Minimum 8 years of progressive experience in Administration, Office Management, Facilities Management, or Corporate Services.
- At least 3 years of experience in a managerial or leadership role.
- Proven experience in managing administration functions across multiple branches or business locations.
- Hands-on experience liaising with government authorities and regulatory agencies on licensing, permits, inspections, and statutory compliance.
- Experience managing facilities, office operations, vendor contracts, company assets, and administrative budgets.
- Experience in the retail, FMCG, logistics, manufacturing, or multi-site business environment is highly preferred.
Pay: RM6,500.00 - RM7,500.00 per month
